Summary:
The Office Manager serves as the operational backbone of the office while providing high-level administrative and strategic support to the Executive Coordinator. This role requires exceptional organizational skills, discretion, initiative, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and capable of balancing day-to-day office management with executive-level support.

Essential Duties/Responsibilities:
Core duties and responsibilities include the following.
- Oversee the daily administrative, operational, and clinical office functions of the health clinic, ensuring efficient, patient-centered, culturally responsive, trauma-informed, and compliant operations.
- Develop, implement, and continuously improve administrative systems, office workflows, policies, procedures, and standard operating procedures that support high-quality clinical operations and enhance efficiency, productivity, and patient satisfaction.
- Directly supervise Clinical Receptionists.
- Develop and maintain front desk staffing schedules to ensure adequate coverage throughout all clinic hours and monitor staff attendance, productivity, professionalism, customer service, and compliance with agency policies.
- Conduct regular team meetings and provide ongoing training, coaching, and professional development; address performance concerns through appropriate corrective action in collaboration with Human Resources and clinical leadership.
- Oversee all patient reception and access functions, including registration, insurance verification, appointment scheduling, check-in/check-out, patient communications, demographic updates, and related administrative processes.
- Ensure the accuracy, timeliness, confidentiality, and completeness of patient demographic, insurance, and administrative information in accordance with agency policies, HIPAA requirements, and applicable regulations.
- Monitor appointment scheduling practices to maximize provider productivity, optimize clinic capacity, minimize patient wait times, and reduce no-show rates.
- Ensure front desk staff consistently deliver courteous, professional, culturally competent, trauma-informed, and patient-centered service.
- Respond to and resolve patient complaints, concerns, and service issues professionally, escalating matters to appropriate clinical or administrative leadership when necessary.
- Serve as the primary administrative liaison among providers, nursing staff, behavioral health professionals, patients, program leadership, and external healthcare partners to promote effective communication and coordination of services.
- Coordinate provider schedules, clinic calendars, meetings, conference rooms, trainings, staff events, and other administrative activities to support efficient clinic operations.
- Support the onboarding and administrative orientation of new clinical and administrative employees, including workspace preparation, equipment, system access, scheduling, and required orientation materials.
- Assist with maintaining provider credentialing documentation, licenses, certifications, administrative records, and other required documentation as assigned.
- Maintain organized electronic and physical filing systems and ensure appropriate document retention, confidentiality, accessibility, and compliance with agency policies, HIPAA, and regulatory requirements.
- Prepare and maintain correspondence, reports, presentations, forms, meeting materials, operational documents, and other administrative records as needed.
- Support operational readiness for audits, accreditation reviews, regulatory inspections, funder monitoring, and other compliance activities by maintaining accurate records and ensuring required documentation and procedures are in place.
- Coordinate facility operations, including maintenance, repairs, cleanliness, safety, space utilization, emergency preparedness, and workplace safety procedures to maintain a secure, professional, and patient-friendly healthcare environment.
- Serve as the primary administrative contact for building management, vendors, contractors, maintenance providers, and other service providers; monitor service agreements and ensure timely resolution of facility and operational issues.
- Manage office supplies, medical office equipment, furniture, and general administrative resources; monitor inventory levels and ensure adequate supplies are available to support uninterrupted clinic operations and multiple program locations, as applicable.
- Research vendors, obtain pricing, coordinate purchase requests, maintain vendor files and service contracts, and assist with processing invoices and payments in accordance with organizational procurement procedures.
- Assist with processing invoices, expense reports, purchase orders, and other financial documentation; track office-related expenditures and support adherence to approved budgets.
- Maintain organizational calendars, shared resources, conference room schedules, office communications, incoming and outgoing mail, deliveries, and other general administrative functions.
- Provide administrative support to clinical leadership, executive leadership, program managers, and other departments as assigned.
- Coordinate logistics for organization-wide and clinic meetings, trainings, community events, and other activities, including scheduling, room preparation, materials, communications, and follow-up.
- Monitor clinic operations and identify opportunities for process improvement, technology enhancement, cost efficiency, staff development, and improved patient experience.
- Maintain a safe, organized, professional, and welcoming clinical environment and ensure office policies, procedures, safety standards, and regulatory requirements are consistently followed.
- Perform other duties and responsibilities as assigned.
- Work in close partnership with the Billing Manager and clinical leadership to coordinate day-to-day clinic operations and ensure that front desk processes support timely access to care, accurate documentation, regulatory compliance, and complete and timely billing.
- Lead the daily administrative operations of the front desk and provide direct supervision to the Clinical Receptionists, including staffing, coverage, registration, scheduling,
- Check-in/check-out, communication, workflow follow-through, and adherence to agency procedures.
- Partner with the Billing Manager, who will provide functional direction, training, and monitoring for revenue-cycle-related front desk responsibilities, including insurance verification, demographic and payer accuracy, financial assessments, participant payment follow-up, and correction of registration issues that may delay or prevent reimbursement.
- Jointly develop front desk workflows, conduct staff training and operational huddles as needed, review performance and error trends, resolve process breakdowns, and implement corrective action plans that improve participant experience, clinical efficiency, data accuracy, and revenue-cycle performance.
- Maintain consistent communication with the Billing Manager and clinical leadership regarding scheduling barriers, participant access concerns, incomplete information, service flow, documentation gaps, and other operational issues requiring coordinated follow-up or escalation.
Supervisory Responsibilities:
Provides oversight to the Clinical Receptionists and interns providing services. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Proven ability to lead teams, manage multiple priorities, solve complex operational issues, and exercise sound judgment in a fast-paced healthcare environment.

Education and/or Experience:
- Administration, Health Services Management, or a related field required. A combination of equivalent education and relevant experience may be considered.
- Minimum of five (5) years of progressively responsible administrative or office management experience, with at least three (3) years in a healthcare, outpatient clinic, Federally Qualified Health Center (FQHC), Article 28 clinic, or similar clinical setting.
- Minimum of two (2) years of supervisory experience managing front desk, reception, or other administrative support staff.
- Experience working with Electronic Health Records (EHR/EMR/InSync) systems and practice management software.
- Working knowledge of medical terminology, patient registration processes, insurance verification, referrals, and prior authorization procedures.
- Strong knowledge of HIPAA, OSHA, and applicable federal, state, and local healthcare regulations governing patient privacy and clinical operations.
- Experience developing office policies, improving operational processes, and implementing quality improvement initiatives.
- Bilingual (English/Spanish) preferred.
