Operations Leader and Team Lead

We are seeking an experienced operational leader who is energized by ownership, developing people, improving systems, and driving measurable results in a growing healthcare practice.

This is not a traditional office-manager position and is not intended for someone looking to grow into their first significant leadership role. Our ideal candidate has already demonstrated the ability to lead a team, create accountability, identify operational weaknesses, improve systems and processes, and produce measurable organizational results.

You will work directly with the Clinic Director and increasingly assume responsibility for the day-to-day operational performance of the practice. You will be expected to question existing processes, identify what is not working, revise systems and SOPs when necessary, develop team members, address underperformance, and help build an organization capable of sustainable growth.

Benefits and Compensation

Starting salary: $68,000–$70,000, commensurate with demonstrated leadership and operational experience.

Qualifications

• Demonstrated leadership experience-not simply administrative or supervisory experience.
• A record of creating accountability and improving individual and team performance.
• Experience identifying operational problems and implementing solutions without waiting to be directed.
• Demonstrated ability to evaluate, build, and improve systems, workflows, and SOPs.
• Experience using KPIs and other performance measures to identify problems and drive improvement.
• Confidence addressing underperformance directly and constructively.
• Strong judgment and the ability to make decisions, solve problems, and take ownership of outcomes.
• Ability to think strategically while remaining willing to roll up your sleeves when circumstances require it.
• A demonstrated record of improving measurable organizational or financial results.
• Ability to work effectively with owners, doctors, and other professionals while providing appropriate leadership and accountability.

Significant prior leadership experience with measurable results is required. Healthcare or private-practice experience is valuable, but demonstrated leadership ability is more important than simply having worked in a medical office.

How You Succeed in This Role

• Team members have clearly defined expectations and are consistently held accountable for performance.
• KPIs are tracked, understood, and actively used to improve performance.
• Operational problems are identified and addressed before they require intervention from the Clinic Director.
• Existing systems and SOPs are evaluated critically and improved when better solutions are available.
• New systems are implemented successfully and consistently followed.
• Team members develop professionally and increasingly take ownership of their responsibilities.
• Patient acquisition, conversion, retention, and the overall patient experience continue to improve.
• Billing and accounts-receivable processes receive appropriate oversight and accountability.
• Practice efficiency, productivity, and collections improve as the organization grows.
• The Clinic Director becomes progressively less involved in routine operational management because the organization is being effectively led.

Primary Responsibilities

• Lead regular accountability, KPI, and performance meetings.
• Establish clear expectations and follow through when those expectations are not met.
• Coach and develop team members while addressing persistent underperformance when necessary.
• Evaluate existing workflows, systems, and SOPs and redesign them when improvement is needed.
• Create systems that produce consistent execution rather than relying on individual memory or effort.
• Monitor operational and financial performance and initiate corrective action when results fall below expectations.
• Oversee accountability within billing, accounts receivable, and other administrative functions.
• Help strengthen the new-patient process from lead through scheduling, show, conversion, and retention.
• Identify barriers to growth and work with the Clinic Director and doctors to address them.
• Build cross-training and organizational redundancy so critical functions do not depend upon one individual.
• Develop emerging leaders within the team.
• Bring problems forward with recommended solutions-not simply identify problems.
• Take increasing ownership of day-to-day practice operations and organizational performance.
