About the job Bilingual Administrative Assistant Venture Dynamics is seeking a detail-oriented and organized Bilingual Administrative Assistant in Newport News, Virginia, to support daily office operations, administrative coordination, and communication with English- and Spanish-speaking employees, clients, and colleagues. This position requires strong organizational skills, accurate recordkeeping, and the ability to manage multiple priorities in a fast-paced environment. Assignments may be project-based, with opportunities for continued work depending on performance and operational needs. Responsibilities Provide daily administrative support, including scheduling appointments, coordinating meetings, managing calendars, and organizing office documents. Translate written communications and interpret verbal conversations between English and Spanish to support accurate information exchange. Maintain organized electronic and physical filing systems, ensuring records are accurate, current, and accessible to authorized personnel. Respond to telephone calls, emails, and inquiries from employees, clients, and internal departments in a professional and timely manner. Prepare and update reports, spreadsheets, presentations, correspondence, and other administrative materials. Coordinate information between departments and assist with tracking assignments, deadlines, and project documentation. Support the Bilingual Administrative Assistant function by helping English- and Spanish-speaking personnel understand instructions, procedures, and office communications. Identify opportunities to improve administrative processes and assist with additional office duties as assigned. Requirements Proficiency in English and Spanish, including the ability to communicate clearly in both languages. Ability to translate routine written documents and interpret workplace conversations accurately. Strong verbal and written communication skills. Proficiency in Microsoft Office applications, including Word, Excel, and Outlook. Strong organizational and time-management skills with the ability to prioritize multiple assignments. Ability to maintain accurate records and handle confidential information appropriately. Professional interpersonal skills and the ability to communicate effectively with employees, customers, and management. Strong attention to detail and the ability to work independently and collaboratively. Preferred Qualifications Previous experience in an administrative assistant, office assistant, or office support position. Experience supporting bilingual employees or customers in a professional environment. Familiarity with electronic filing systems, scheduling software, and document management. Experience preparing administrative reports, presentations, or project documentation. Additional Information This position is based in Newport News, Virginia, and involves office-based administrative support. Depending on assignment needs, duties may include coordination with personnel working in active industrial or shipyard environments. Appropriate personal protective equipment (PPE) may be required when entering designated work areas. Work schedules may include overtime or adjustments based on operational requirements.
