Aviation Accountant

Immediate need for an Aviation Operations Accountant to be responsible for owning and leading the delivery of aviation services. This role ensures consistent, high-quality internal customer experience while maintaining accurate accounting, maintenance, and payroll records for executive leadership across the business. You will serve as the primary aviation point of contact for senior leaders and executive assistants, providing coordination support, guidance, and issue resolution.

What you will be doing: Manage schedules for private aircraft, coordinating with pilots, flight attendants, and ground crew to ensure on-time departure compliance. Reconcile flight logs against fuel receipts and maintenance invoices to reduce billing errors and generate monthly financial reports for executive leadership. Ensure all crew flight time and duty periods adhere to FAA regulations, while maintaining detailed electronic flight records. Track and process daily operational expenses, prepare invoices, and categorize transactions using QuickBooks software. Systematically process and audit all aviation operating expenses, including fuel, maintenance contracts, catering, and crew travel logistics (hotels and transportation). Coordinate with Fixed Base Operators (FBOs) for fueling and handling, accurately matching vendor invoices against service logs. Deftly resolve real-time operational challenges, including weather delays, crew scheduling, and last-minute travel alterations, with composure and efficiency. Assist with monthly general ledger balance sheet reconciliations, gather necessary supporting documentation to ensure the financial accuracy. Assist with the analysis and review of monthly expenses and accruals to ensure proper classification to the correct period incurred and maintain liability accrual accounts. Perform other ad-hoc tasks as assigned. What we are looking for in you: Experience supporting Part 91 and/or Part 91K flight operations. 2–3 years of aviation accounting, aircraft management, and/or specialized bookkeeping experience. Solid understanding of core accounting concepts, including month-end close and accruals. Working knowledge of QuickBooks and intermediate Excel skills (including VLOOKUPs and pivot tables). Ability to accomplish difficult tasks with minimal oversight and maintain a high level of accuracy. Strong analytical skills with the ability to present clear solutions to complex accounting problems.
