EcoCraft is a locally owned residential design-build company specializing in remodels, additions, ADUs, and custom homes. We’re seeking an experienced Accounts Payable & Receivable Specialist to help keep invoices, payments, and financial records accurate, organized, and current.

You enjoy making sure the details add up—and understanding why they matter. You notice discrepancies, ask thoughtful questions, and follow through until an issue is resolved. You’re comfortable communicating with clients, vendors, subcontractors, and our team with professionalism and care.

What You’ll Do

• Receive, review, and enter vendor and subcontractor invoices, checking documentation, approvals, and project coding.

• Manage invoice routing and payment workflows in Bill.com, prepare payment batches for owner approval, and track payment deadlines.

• Prepare and send client invoices based on approved project billing information.

• Record incoming payments, monitor outstanding balances, and follow up professionally on overdue accounts.

• Reconcile vendor statements and investigate missing invoices, duplicate charges, and other discrepancies.

• Maintain organized financial records and current vendor information, including W-9s.

• Coordinate with the owner, Designer, Project Manager, and bookkeeping or accounting support to resolve billing questions.

• Assist the Operations Coordinator with tasks involving accounting information or complex calculations.

• Provide clear updates on outstanding receivables, upcoming payables, and items needing attention.

• Help improve billing and payment processes as you learn our systems.

What You Bring

• Hands-on accounts payable and accounts receivable experience.

• Proficiency with QuickBooks and comfort using both Excel and Google Sheets.

• Strong attention to detail and the ability to maintain accurate records across multiple projects.

• Dependable organization, time management, and follow-through.

• Confidence addressing billing questions and payment reminders with tact.

• Good judgment and discretion when handling confidential financial information.

• The ability to work independently, learn new systems, and recognize when clarification or approval is needed.

Experience in construction, remodeling, or another project-based business is preferred. Familiarity with job costing, progress billing, and CoConstruct is a plus.

Schedule Compensation and Benefits

This is a part-time hybrid position of 16–24 hours per week, paying $26–$32 per hour, depending on experience and qualifications. The schedule and balance of office and remote work will be established together based on business needs.
