Job Summary

The Order Management & Spare Parts Coordinator is responsible for managing customer orders, spare parts inventory, and fulfillment processes to ensure timely delivery and customer satisfaction. The role supports sales, service, and engineering teams by coordinating order processing, tracking shipments, maintaining inventory accuracy, and handling spare parts logistics.

Key Responsibilities: Order Management

• Process and manage customer orders in ERP/CRM systems.
• Verify order accuracy, including pricing, quantities, and delivery schedules.
• Coordinate with sales, engineering, and production teams to ensure order fulfillment.
• Monitor order status and proactively communicate updates to customers.
• Resolve order discrepancies, delays, or shipment issues.

Spare Parts Management

• Manage spare parts inventory for automation systems and equipment.
• Track stock levels and coordinate replenishment with procurement.
• Support service teams by ensuring critical spare parts availability.
• Maintain an accurate spare parts catalog and documentation.
• Handle spare parts quotations and order processing.

Logistics & Shipping

• Coordinate the shipment of spare parts and equipment globally.
• Prepare shipping documentation (packaging lists, invoices, and export documents).
• Work with freight carriers and logistics partners.
• Track shipments and manage delivery timelines.

Customer Support

• Respond to customer inquiries regarding orders, spare parts availability, and shipment status.
• Provide spare parts recommendations based on equipment requirements.
• Support field service teams during maintenance and repair activities.

Inventory & Reporting

• Maintain accurate records of spare parts inventory in ERP systems.
• Generate reports on order status, inventory levels, and spare parts usage.
• Support inventory audits and cycle counts.

Required Qualifications

• Bachelor’s degree in supply chain, business administration, engineering, or a related field (or equivalent experience).
• 2–5 years experience in order management, spare parts coordination, or supply chain operations.
• Experience working with ERP systems
• Knowledge of inventory control and logistics processes.
• Strong organizational and communication skills.

Preferred Skills

• Experience in industrial automation, robotics, or semiconductor equipment.
• Familiarity with BOM (Bill of Materials) and spare parts catalogs.
• Experience with international shipping and export documentation.
• Ability to work cross-functionally with engineering, sales, and service teams.
