Job Description

Summary

The Marketing Operations Project Manager helps strengthen the way our marketing team plans, tracks, manages, and delivers work across campaigns, events, website initiatives, product launches, and other strategic priorities. The role will be responsible for building and maintaining the team’s project management infrastructure, ensuring leaders have clear visibility into workload, priorities, timelines, dependencies, and at-risk projects. The role will plays a critical role in creating operational discipline, improving cross-functional coordination, and serving as the project manager for select high-profile initiatives such as the annual client conference and major product launches.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Design, build, and maintain the marketing team’s project management infrastructure, including workflows, templates, dashboards, reporting views, and governance processes in a platform such as Smartsheet, Asana, or a similar tool.
• Partner with the SVP, Marketing and other leaders to provide visibility into team workload, project status, key milestones, dependencies, resource constraints, and at-risk initiatives.
• Establish consistent processes for project intake, prioritization, timeline development, status reporting, risk identification, and cross-functional communication.
• Track marketing initiatives across campaigns, events, website projects, content development, product launches, and other strategic priorities to help ensure work is organized, visible, and progressing as planned.
• Serve as the dedicated project manager for select large or complex initiatives, including the annual client conference, major product launches, and other high-priority marketing programs.
• Facilitate cross-functional project meetings, document decisions and action items, monitor follow-through, and proactively escalate issues that may impact timing, quality, scope, or delivery.
• Develop reporting and executive-ready summaries that help marketing leadership assess capacity, prioritize work, and make informed decisions about resources and trade-offs.

Education and/or Experience

BS/BA and 5+ years’ marketing operations, project management, program management or a related role supporting complex, cross functional initiatives experience required or equivalent combination of education and experience, and 2 years' of SME in respective areas. BS/BA in Marketing, Business, Communications, Project Management or highly related area preferred.

Computer Skills

High proficiency in Outlook, Word, Excel, and PowerPoint; Office 365

Certificates, Licenses, Registrations

PMP certification or formal project management training strongly preferred.

Other Skills and Abilities

• Demonstrated experience building or administering project management systems, workflows, dashboards, templates, and reporting processes using tools such as Smartsheet, Asana, Monday.com, or similar platforms.

• Strong understanding of marketing workstreams, including campaigns, events, website updates, content development, sales enablement, and product launch activities.

• Proven ability to manage complex timelines, dependencies, cross-functional stakeholders, competing priorities, and project risks.

• Excellent communication, organization, facilitation, and problem-solving skills, with the ability to translate project details into clear leadership-level updates.

• Experience planning and managing large-scale events, annual conferences, product launches, or enterprise-wide marketing initiatives.

• Ability to create practical, scalable processes that improve efficiency without adding unnecessary administrative burden.

• Comfort working with senior leaders and cross-functional partners to clarify priorities, surface trade-offs, and drive accountability without direct authority.

Work Location

This position works on-site at the San Diego Headquarters or other company location (or from a remote location with management approval based on business requirements). Must provide adequate support to internal clients; be available for regular interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as be available to facilitate effective decisions through collaboration with stakeholders.

Working Hours

This is an exempt level position requiring the incumbent to work the hours required to fully accomplish job responsibilities and reasonably meet deadlines for work deliverables. The individual must have the flexibility to work beyond traditional hours and be able to work nights, weekends or on holidays as required. Work hours may be changed from time to time to meet the needs of the business. Typical core business hours are Monday through Friday from 8:00am to 5:00pm.
