This is a Full Time 40hr Position

This position is mainly remote but applicants must live within commuting distance to MSPCA- Angell West as it may require intermittent onsite training and work.

The West Surgery Specialty Secretary is the primary point of contact and central communication liaison for the Angell West Surgery Department. This position serves as the go-to resource for clients, referring veterinarians and West Surgery staff and is responsible for coordinating and managing communication related to the department.

The role has a direct impact on client experience, patient care, departmental efficiency and relationships with referring veterinary practices. The West Surgery Specialty Secretary ensures that clients receive timely, accurate, compassionate and appropriate information throughout their pet’s surgical experience from initial consult to post-op, while also ensuring that veterinary staff have the information, documentation and support necessary to provide high-quality care.

As a member of the Communication Center, the Specialty Secretary works closely with veterinarians, technicians, Communication Center staff, referring veterinarians, support staff, and other hospital departments. The position requires strong judgment, organization, communication and problem-solving skills, as well as the ability to prioritize and respond appropriately in a fast-paced clinical environment.

The position also serves as an important representative of the West Surgery Department and MSPCA-Angell. The individual in this role is expected to consistently demonstrate professionalism, compassion, respect and a commitment to providing excellent service to clients, patients, referring veterinarians and colleagues.

Some Responsibilities to include

• Manage inbound and outbound calls, messages, emails, voicemails and follow-up for West Surgery team.
• Communicate patient updates, instructions and other care-related information to clients clearly and professionally.
• Maintain detailed documentation of messages and client communications for veterinary staff.
• Scheduling appointments, surgeries, admissions and drop-offs.
• Ensuring referral paperwork, medical records, forms, drop-off packets and other required information are available to the Surgery team.
• Supporting Communication Center call lines and other specialty departments as needed.

Compensation:  

Starting $20-$22/hr
