Material Receiving Coordinator

Coordinate material receiving, verification, documentation, and reporting activities to ensure accuracy between delivered materials and project requirements. Perform detailed validation of received materials against packing lists, purchase orders, and project documentation. Inspect materials upon arrival to identify discrepancies, damages, and non-conformance issues. Maintain accurate records, logs, and reports in accordance with site procedures and documentation standards. Capture and maintain photo documentation of deliveries for traceability and audit purposes. Enter material receipt data into systems in a timely and accurate manner. Support quality assurance and compliance processes through disciplined verification and recordkeeping. Coordinate with site teams, suppliers, and logistics providers to resolve delivery issues and ensure proper storage and handling of materials. Support audits, inspections, and project closeout activities through organized documentation. Work in a combination of office and outdoor construction site environments, ensuring adherence to safety requirements.

Coordinate pre-arrival communication for scheduled material deliveries. Verify delivered materials against packing lists, purchase orders, and documentation. Perform detailed material receipt validation, including quantities, specifications, and labeling. Inspect material condition and identify discrepancies or damages. Complete material receiving forms, logs, and reports accurately. Capture and maintain photo documentation of deliveries. Enter and manage material data in tracking systems. Ensure adherence to documentation and reporting standards. Identify and escalate non-conforming materials. Maintain organized records for audits and inspections. Coordinate storage, labeling, and handling of materials with site teams. Communicate effectively with suppliers and logistics providers.

Minimum 3+ years of relevant experience in materials receiving, logistics, construction support, or similar roles. Strong attention to detail with the ability to identify discrepancies and documentation errors. Ability to follow structured processes and standardized procedures. Experience handling repetitive, documentation-intensive tasks with accuracy and consistency. Basic proficiency in Microsoft Office, including Excel and Word. Strong communication and coordination skills in a site-based environment. High school diploma or equivalent is required. Experience in Quality Assurance or Quality Control environments. Familiarity with construction, industrial, or manufacturing material control processes. Experience with material tracking systems such as ACC or similar platforms.
