Schedule: Monday-Friday | 8:00 AM-5:00 PM

About the Role

Bear Staffing is seeking an experienced Branch Coordinator to support daily office and administrative operations for a leading provider of modular buildings and portable storage solutions in Tulsa, OK.

This position is heavily focused on accounts payable support, billing research, customer service, and high-volume phone communication . The Branch Coordinator will play an important role in maintaining accurate records, resolving billing questions, assisting customers and vendors, and keeping daily branch operations organized.

Key Responsibilities

• Follow all Environmental Health and Safety policies and procedures.
• Greet and assist visitors, vendors, suppliers, and customers.
• Manage a high volume of inbound and outbound customer and vendor calls.
• Provide professional customer service and route questions or concerns appropriately.
• Research billing discrepancies, invoice questions, and customer account concerns.
• Process customer invoices and assist with resolving billing issues.
• Support accounts payable activities and communicate with internal departments as needed.
• Complete month-end activities, including reconciliations, reporting, and data tracking.
• Generate and process purchase orders for parts, materials, and branch supplies.
• Assist with mail, office supplies, timekeeping, IT coordination, and employee onboarding.
• Maintain organized branch records, reports, and supporting documentation.
• Provide additional administrative and operational support to branch management.

Required Qualifications

• High school diploma or GED.
• Three or more years of administrative, customer service, billing, or accounting-support experience.
• Strong numerical aptitude and attention to detail.
• Professional phone presence with experience handling frequent inbound and outbound calls.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Ability to research and resolve billing or invoice discrepancies.
• Strong organizational, communication, and problem-solving skills.
• Ability to manage multiple priorities in a fast-paced branch environment.
• Valid driver's license; occasional local travel may be required.

Preferred Qualifications

• College degree.
• Previous accounts payable, invoicing, billing, or accounting-support experience.
• Experience with Salesforce, SAP, Tableau, Hyperion, Smartsheet, Microsoft Teams, or Zoom.
• Experience supporting operations within the construction, modular-building, equipment-rental, or storage industry.
