Development Operations and Database Coordinator

Mount Washington Observatory (MWOBS) is a nonprofit, member-supported research and educational institution that has operated a weather station on the Northeast’s highest peak for over 90 years. The Development Operations and Database Coordinator focuses on effective fundraising systems support, data management, gift acknowledgment, reporting, and donor care. The coordinator utilizes Bloomerang Fundraising software to manage excellent donor records and overall data quality. The role is responsible for charitable gift entry, timely acknowledgements, stewardship tasks, and assisting with reconciling financials. Exceptional organizational skills are important to coordinate day-to-day administrative operations, volunteer engagement, and the efficient execution of development initiatives. Primary Duties and Responsibilities Become an expert user of our constituent relationship management software to maintain accurate records of all donor interactions. Manage quality and efficiency of gift processing, acknowledgements, engagement task assignment, gift documentation, reports and mail lists, donor lists, and other database tasks. Strengthen and manage the database structure to better align records with segmentation, cultivation opportunities, and fundraising campaigns. Communicate with donors by phone, email, and written correspondence to provide membership information. Answer incoming emails and phone calls, providing excellent customer service. Work with the Finance Department on reconciliation matters between constituent relationship management software and Quickbooks. Develop and steward volunteer engagement in alignment with summit and valley program needs, including task assignment, communications, and cultivation and while enhancing volunteer support of staff. This role is the point person for coordinating with MWOBS volunteers. Plan and implement an annual volunteer appreciation event. Support the team with other donor cultivation events, including Seek the Peak. Coordinate day-to-day administrative operations for the External Affairs department, including office logistics and inventory needs for development mailings and events. Implement, with the External Affairs team, an annual giving plan using mail, email, phone, and social media in accordance with annual goals. Complete prospect research and produce assigned donor briefing materials. Support storytelling to demonstrate MWOBS’s impact and support the Communications Manager with graphic design, social media, and other internal and external communications. Like all MWOBS employees, this role is an ambassador for this unique nonprofit and carries the responsibility of always being a good representative in the community. Other duties and special projects as assigned, including record keeping and mail processing. Education and Experience The Development Operations and Database Coordinator possesses a minimum of a Bachelor’s Degree. Experience with CRM database software and proficiency in Microsoft Office suite are preferred. Nonprofit experience is a plus. Detail-oriented and highly organized with excellent project- and time-management skills. Excellent problem-solving skills and initiative to improve efficiency of processes. Ability to use online webinars and other training resources for professional development. Ability to maintain high level of confidentiality and adhere to the highest ethical standards. Willingness to pitch in when/where needed. Upbeat, positive attitude and good sense of humor a plus. This position is based at the Mount Washington Observatory's office in North Conway, NH. Some limited travel will be required at times, including to the summit of Mount Washington, for development events and other cultivation activities. Evening and/or weekend work may be required.
