Accounts Receivable (AR) Specialist

Position: Accounts Receivable (AR) Specialist Status: Full-Time / Permanent / Hourly Location: Bedford Hills, NY Schedule: Monday-Friday, 8:30am-5:00pm EST Compensation: $28.00-$30.00 per hour Overview The Accounts Receivable Specialist protects and maximizes the company’s cash flow by ensuring customer payments are posted correctly to their respective accounts in accordance with the payment methodology. The role monitors and partners with Branch Management to ensure bills for services rendered are paid within 90‑days. After 90‑days, the Specialist is responsible for pursuing delinquent accounts directly and minimizing referrals to collections. Responsibilities Apply customer payment (cash, credit cards, checks, ACH/EFT, lockbox) against outstanding invoices in a timely and accurate manner. Process daily deposits to company bank accounts. Process customer adjustments and refunds as indicated by branch management. Print customer letters, statements, and invoices from Prodeo. Respond to customer inquiries regarding payments and resolve discrepancies. Manage overdue receivables, partner with branch management to resolve issues and ensure payment. Follow up on delinquent customers by phone and email after 90‑days. Process bad debt accounts and forward to collection agency or small claims court. Reconcile credit card payments daily. Manage chargebacks, returned checks, and returned ACH payments. Monitor bounce‑back emails to ensure customers receive invoices and the company receives payments. Qualifications Ability to process high volumes in a timely and accurate manner. Strong attention to detail. Customer service skills. Excellent oral and written communication skills. Proficient in Microsoft Office Suite or related software and other accounting software programs. Ability to work independently in a fast‑paced environment. Ability to anticipate work needs and interact professionally. Associate’s degree or coursework in a related field preferred or equivalent work experience. 2–5 years of related experience.
