Project Coordinator

The Project Coordinator supports the project management team in planning, organizing, and executing projects from initial planning through closeout. Working closely with subcontractors, site supervisors, vendors, and clients, this role ensures that schedules, documentation, materials, and communications remain accurate and up to date. The coordinator helps maintain workflow efficiency, supports field operations, and ensures compliance with company standards, safety requirements, and project specifications. This role is essential to keeping projects on schedule, within budget, and properly documented. Key Responsibilities Coordinate subcontractor schedules, material deliveries, and site logistics to keep projects on track. Maintain and update project documentation, including contracts, permits, RFIs, change orders, drawings, and meeting minutes. Assist in preparing project schedules, bid packages, purchase orders, and procurement documents. Track project budgets, cost‑to‑complete reports, pay applications, and change orders; flag variances for the project manager. Communicate with stakeholders—clients, subcontractors, architects, engineers, and inspectors to relay updates and resolve issues. Conduct regular site visits to verify progress, confirm compliance with plans and safety standards, and support issue resolution. Support permit applications, inspections, and regulatory compliance processes. Prepare agendas, record meeting minutes, and track action items to completion. Assist with project closeout, including warranty packages, as‑built documentation, and final inspections. Maintain organized digital and physical project files for audit‑ready accuracy.
