Position Type: Full-time

Contract Status: Permanent

Start Date: August 3, 2026

Work Days: 225 regular work days (if August Start Date)

Pay: Pay for the 2026-27 school year ranges from $21.07 - $27.49. Placement is dependent on verifiable experience.

Retirement Contribution: The North Santiam School District participates in the Oregon Public Employee Retirement System (PERS and OPSRP) on behalf of its employees. Upon eligibility, the district contributes 6% of an employee's salary to their Individual Account Program (IAP). Eligibility is defined as working at least six full calendar months in a qualifying position. Part-time employees working at least six months and 600 hours in a calendar year will qualify.

To perform senior-level technical, administrative, and secretarial duties to support efficient school operations.

Distinguishing Characteristics

Positions assigned to this classification are distinguished from other office classifications by the responsibilities for performing supervising/lead duties, managing technical and administrative operations, and performing the more complex technical work in the office.

Essential Requirements
  • High school diploma and four years of general office experience or any combination of education and experience that would provide the applicant with the desired skills, knowledge, and ability required to perform the job
  • Knowledge of and ability to use office practices, procedures, and equipment.
  • Knowledge of and ability to use business English, including reading, composition, spelling, grammar, punctuation, and letter formatting
  • Working knowledge of bookkeeping practices and procedures
  • Ability to work independently, prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail
  • Ability to develop and establish administrative office procedures
  • Good oral communication skills and interpersonal skills with the ability to work with a diversity of public and District personnel using tact, courtesy, and sound judgment
  • Ability to establish and maintain filing and record-keeping systems
  • Ability to physically perform assigned duties, including, but not limited to, lifting objects to 25 lbs. and sitting for extended periods
Essential Duties and Responsibilities
  1. Sets up and maintains administrative procedures and processes for the office
  2. Performs complex technical assignments requiring knowledge and understanding of unit operations
  3. Serves as a key contact person and liaison between the supervisor and other departments, staff, and the community; coordinates the dissemination of departmental information as appropriate
  4. Screens incoming calls, mail, and visitors; provides information regarding established departmental or District services or processes
  5. Coordinates the office operations and develops administrative forms and procedures. Coordinates the processing of forms, notices, orders, or lists for specialized activities, such as human resources actions, applicant records, District surveys, position control, timesheets, cash control, and student enrollments
  6. Processes purchase orders and requisitions, ensuring proper approvals, coding, and records. Purchases office supplies for the building
  7. Schedules appointments for admin and maintains a calendar of events
  8. Manages communication to staff, parents, and community members through various channels such as newsletters, website, social media, and reader board
  9. Manages absences in Frontline and secures certified and classified substitutes when necessary
  10. Assists in budget preparations for the building—monitors departmental budgets, notifying supervisor of any budget problems
  11. Receives cash/check/credit card payments through InTouch for various purposes
  12. Types, edits, and proofs of correspondence, documents, reports, memos, and minutes from handwritten or printed copies. Composes routine business correspondence and prepares detailed reports and meeting minutes as assigned
  13. Processes facility usage requests through FMX and acts as the liaison between the school and the organizations/groups
  14. Provide backup support to other clerical positions and the office in case of absence or work overload.
  15. Maintains required medical training to support students with specific medical needs including, but not limited to, diabetes, ADHD, and asthma, as well as the administration of medication during the school day to these students
  16. Performs other related duties as assigned
  17. Maintain a high level of ethical behavior and confidentiality about students, parents, and staff.
  18. Act as a friendly ambassador for the North Santiam School District
Duties Could Include the Following Depending on the Building:
  1. Supervises and/or leads the work of classified employees: provides training, makes and checks work assignments, and assists in performance evaluation
  2. They could be the only office staff and, therefore, will need to perform all office functions, including but not limited to student attendance, student enrollment, immunization records, etc.
Working Conditions:

The work is performed primarily indoors, requiring hand/ eye coordination in the operation of business machines. Work may involve occasional lifting of objects weighing 15 to 25 pounds. They may be exposed to repetitive hand or arm strain.

Certificates, Licenses, Registrations, Bonding and/or Testing Required:
  1. Possess and maintain a valid First Aid card as required
  2. Criminal Justice Fingerprint Clearance
  3. Bloodborne Pathogen Training/ Hepatitis B Shot Series Training as required
