About this position: Secretary III Location – Honolulu, HI The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned. To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. Essential Duties & Responsibilities Administrative & Coordination Support Assist with Coordination and scheduling of kick off meetings associated with service work and subcontract activities in support of the Service Order Manager Assist with Preparation and distribution of schedules and updates to stakeholders Facilitate submission of required vendor and subcontractor deliverables, including but not limited to: Visitor requests Vehicle requests Project schedules Meeting agendas Contract closeout documentation Conduct market research as requested Develop, document, and distribute meeting agendas and minutes Assist with Maintaining vendor and subcontractor databases and documentation Clerical & Office Support Handle incoming calls, visitors, and general inquiries, directing them as appropriate Compose, format, and distribute correspondence, reports, spreadsheets, and presentations Maintain calendars, schedules, and appointments Process incoming and outgoing mail and communications Maintain department files, records, and documentation systems Monitor and replenish office supplies; assist with inventory management Perform general office maintenance, including workspace organization Operational Support Input, track, and extract data from company and customer databases Prepare reports to support operational and contractual requirements Track administrative processes, communications, and performance metrics Support all departments and management personnel as needed Operate Government or company vehicles/equipment, if required Ensure compliance with safety policies and standard operating procedures Professional Expectations Always maintain a professional appearance and demeanor Work collaboratively with employees, customers, and stakeholders Demonstrate strong organizational, multitasking, and problem-solving skills Work independently and meet established deadlines Communicate effectively and keep management informed of issues or developments Required (Minimum Necessary) Qualifications Associate degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience) Minimum of two (2) years of relevant experience in administrative support, accounting, project coordination, or government contract support Alternatively: High school diploma or GED with five (5) years of administrative/secretarial experience, or Three (3) years of experience with an associate’s degree or higher Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Typing speed of at least 45 words per minute Excellent written, verbal, and interpersonal communication skills High degree of confidentiality and professionalism Ability to work independently, including in remote environments Valid driver’s license Ability to pass pre-employment background check and drug screening Ability to obtain and maintain a Top Secret/SCI security clearance Ability to obtain and maintain the Facility Management course Must be a U.S. Citizen Knowledge, Skills, Abilities, and Other Characteristics Understanding of organizational workflows and administrative processes Knowledge of office technologies and Microsoft 365 tools Familiarity with customer service principles and best practices Awareness of data privacy and confidentiality standards Strong communication skills (written and verbal) Effective time management and prioritization abilities Problem-solving and critical thinking capabilities Ability to collaborate and build professional relationships Strong attention to detail and accuracy Preferred · None Supervisory Responsibilities · This position will not have supervisory responsibilities. DOT Covered/Safety-Sensitive Role Requirements · This position is not subject to federal requirements regarding Department of Transportation “safety-sensitive” functions. Work is mostly performed from a sedentary posture. Additional Qualifying Factors As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.
