Positional Overview

The Imagine Group is recruiting for a  Customer Service Representative   on behalf of our client, a leading manufacturer of thermal management solutions, specializing in the design and production of heat exchangers and related technologies for a variety of industrial applications in Buffalo, NY . The company serves customers across diverse markets, providing innovative, high-performance products and engineering solutions focused on efficiency, reliability, and advanced thermal technology.

In this role, you will be responsible for providing customer service support to both customers and sales representatives for aftermarket sales activities. This includes quoting aftermarket spare parts, reviewing and entering orders, and assisting with various sales support functions. This role offers an excellent opportunity to develop expertise in our product line through direct interaction with customers, products, and pricing.

Role & Responsibility:

Tasks That Will Lead to Your Success :

• Handle general phone and email inquiries from customers and sales representatives regarding orders.
• Quote aftermarket spare parts, including gaskets, O-rings, seals, standard bonnets, zinc anodes, tube plugs, separators, plate packs, and more.
• Cross-reference current and legacy part numbers and obtain vendor quotations as needed.
• Review and accurately enter aftermarket spare parts orders.
• Assist with maintaining the aftermarket quote log.
• Review spare parts orders for on-time shipments and gross margins, reporting any findings or issues.
• Coordinate and perform sales team activities associated with the Return Material Authorization (RMA) process.

Skills & Experience

Qualifications That Will Help You Thrive

• Associate degree (preferred) or equivalent industry experience.
• Minimum of two years of customer service experience in a professional and/or manufacturing environment preferred.
• Experience supporting both internal and external customers.
• Heat exchanger or mechanical knowledge is highly desirable.
• Ability to sit, stand, and walk within both office and production floor environments.
• Occasional lifting of up to 20 pounds.
• Visual acuity for reviewing documents and working on computer screens.
• Ability to wear required PPE while on the production floor.
• Frequent use of hands for typing and document handling.
