Front Office Administrator

Mobility Transportation Systems

Job Description Job Description The Front Office Administrator will support a small office team of 1-5 people, providing essential administrative and customer-facing functions to ensure smooth day-to-day operations. Reporting to the Office Manager and Department Head, this role requires proficiency in standard office software, including Sage 50 Accounting, and strong organizational skills to manage reception, scheduling, and document coordination effectively. Bilingual in Spanish is a must to communicate with a diverse client base.

Responsibilities
Manage reception and greet visitors professionally
Coordinate appointment scheduling and calendar management
Schedule and coordinate vehicle rentals
Deliver excellent customer service to clients and staff
Perform accurate data entry and maintain records
Handle telephone inquiries and direct calls appropriately
Manage office supplies and document organization
Coordinate visitor access and maintain security protocols

Preferred Qualifications
5+ years experience in office administration
High School Diploma or equivalent
Proficient with Microsoft Office Suite and Sage 50 Accounting
Strong customer service and time management skills
Effective problem-solving abilities
Bilingual in Spanish
