Proposal Coordinator

General Responsibilities including but not limited to: Support the development of comprehensive responses to Requests for Qualifications (RFQs), Requests for Proposals (RFPs), interviews, presentations, and other client-based deliverables. Coordinate, gather, and assemble proposal content from project teams, leadership, and other contributors. Review, edit, and proofread documents for grammar, readability, consistency, and accuracy. Interview internal team members regarding project experience and work history to develop marketing resumes and project narratives. Develop and maintain project sheets, resumes, narratives, photography, and marketing databases. Take ownership of proposal production and administrative functions, including printing, binding, assembly, supply management, and database updates. Clearly understand and implement Downes branding standards across all deliverables. Coordinate proposal schedules, track assignments, update task management tools, and maintain awareness of all active deliverables. Maintain proposal resources and marketing information to ensure content remains accurate, current, and accessible. Demonstrate initiative in identifying opportunities to improve departmental processes, resources, and efficiency. Seek to understand Downes, our projects, clients, and pursuit strategies to support stronger proposal development. Provide clear, professional, and proactive communication with Marketing Management regarding deliverables, priorities, and team needs. Support marketing initiatives, events, award submissions, and communications efforts as directed by the Marketing Manager. Other duties as assigned. Skills and qualifications Exceptional organization and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines. Self-motivated with a strong sense of ownership and accountability. Curious, proactive, and eager to learn. Comfortable working independently and collaboratively. Strong problem-solving and critical-thinking skills. Proficiency in Microsoft Office. Experience with Adobe Creative Suite, particularly InDesign, is preferred.
