Mentor A Promise (MAP) is a New York City–based nonprofit organization serving children and youth ages 5–18 experiencing housing instability through mentorship, literacy, social-emotional learning, educational enrichment, workforce development, creative opportunity, advocacy, housing innovation, and community-centered support.

Education is at the heart of MAP's mission. Through innovative learning experiences, curriculum development, literacy initiatives, workforce readiness programming, and educational enrichment opportunities, MAP helps young people develop the skills, confidence, and knowledge needed to thrive.

PromiseLearning is MAP's education, curriculum, instructional design, learning innovation, and academic enrichment division.

The division develops educational programs, learning experiences, curriculum resources, literacy initiatives, workforce development pathways, and instructional strategies that support youth growth and achievement.

Role Overview

The Executive Assistant to the Chief of Education & Learning serves as a trusted strategic and administrative partner supporting the Chief in managing priorities, coordinating initiatives, facilitating communication, and strengthening operational effectiveness across the division.

This role helps ensure that projects, meetings, communications, and strategic initiatives move forward efficiently while allowing the Chief to focus on educational leadership, innovation, and organizational impact.

The ideal candidate is highly organized, proactive, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced and collaborative environment.

Key Responsibilities

Executive Support

  • Provide direct support to the Chief of Education & Learning
  • Assist with managing priorities, projects, and action items
  • Prepare agendas, meeting materials, and follow-up documentation
  • Track key initiatives and ensure timely completion of deliverables
  • Support day-to-day administrative and operational needs

Meeting & Calendar Coordination

  • Coordinate meetings and scheduling requests
  • Assist with maintaining divisional calendars and planning timelines
  • Prepare meeting notes, summaries, and action-item trackers
  • Support leadership meeting preparation and follow-up
  • Help ensure effective meeting execution and accountability

Project & Initiative Management

  • Track progress on educational initiatives and divisional priorities
  • Support implementation of strategic projects
  • Maintain project documentation and organizational records
  • Monitor deadlines and deliverables
  • Assist with cross-functional coordination efforts

Communication & Coordination

  • Support communication between PromiseLearning leadership and team members
  • Draft internal communications and updates as needed
  • Facilitate information sharing across educational initiatives
  • Help maintain alignment across projects and stakeholders
  • Ensure timely follow-up on key requests and action items

Organizational & Administrative Support

  • Maintain organized records, files, and documentation
  • Assist with reporting and presentation preparation
  • Support divisional planning and operational activities
  • Help strengthen systems, workflows, and administrative processes
  • Contribute to overall organizational effectiveness

Cross-Divisional Collaboration

  • Coordinate with teams across MAP as needed
  • Support collaborative educational and organizational initiatives
  • Assist with leadership communications and special projects
  • Strengthen operational alignment between divisions

Preferred Qualifications

  • Experience in executive support, administration, project coordination, operations, education, nonprofit management, or related fields
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple priorities and deadlines
  • Strong attention to detail and professionalism
  • Proficiency with Google Workspace and virtual collaboration tools
  • Passion for education, youth development, and nonprofit leadership

Leadership Participation

The Executive Assistant is expected to:

  • Attend relevant PromiseLearning meetings
  • Participate in weekly check-ins with the Chief of Education & Learning
  • Support leadership coordination and project tracking
  • Maintain consistent communication regarding priorities and progress

Volunteer Expectations

  • Approximately 5–10 hours per week
  • Minimum 6-month commitment required
  • Maintain timely and professional communication
  • Collaborate through MAP systems and communication platforms
  • Support MAP's safeguarding standards, mission, and organizational values
  • Demonstrate professionalism, discretion, and accountability
