Account Coordinator

Position Summary The Account Coordinator works within the Operations department in support of Account Managers. The role owns the front end of the service lifecycle: confirming deliveries and removals with vendors, compiling and tracking jobstarts by Account Manager, and flagging inactive accounts. This is an entry-level role and a feeder into the pipeline. A strong Account Coordinator moves up into the Operations Coordinator role or into the ADR and Account Manager pipeline. The role stays within the Operations department. Reporting & Scope Reports to: Operations Team Lead, coordination and data entry team. Escalation: Operations Team Lead, then Director of Operations. Career path: Account Coordinator, then Operations Coordinator, or ADR, then Account Manager. This is an entry rung; people are expected to move through it. Key Responsibilities 1. Deliveries Compile the jobstarts. Compile and divide jobstarts collected from the Account Managers. Check for discrepancies. Analyze jobstarts thoroughly for discrepancies or details that need to be notated and adjusted by the Account Manager. Log jobstart errors. Document errors found on jobstarts and record them on the error spreadsheet. Confirm deliveries. Communicate with vendors and the Account Management team, by the process set with each vendor (email or call), to confirm daily deliveries of dumpsters and other jobsite equipment. Keep notes and flag issues. Maintain detailed delivery notes; inform the Account Manager of important vendor correspondence or delivery issues, and communicate clearly by email when an Account Manager must handle something. Track the daily count. Track daily quantity and asset type for each Account Manager in the Daily Count spreadsheet. 2. Removals Pull the report. Export the Equipment Removal report from Waste Applications; the work is divided among the Account Coordinators. Confirm removals. Communicate with vendors and the Account Management team to confirm removals of both dumpsters and equipment nationwide. Flag removal issues. Inform the Account Manager of important vendor correspondence or removal issues. 3. Jobstart Tracking Update the tracker daily. Each day, transfer asset count information from the Daily Count spreadsheet into the Jobstart Tracking spreadsheet. Send it weekly. Email the Jobstart Tracking spreadsheet to the Account Managers weekly. 4. Inactivity Report Work the weekly list. Each week, work through the assigned list of customer accounts to check for assets that have not had service for a defined period based on asset type. Flag what needs attention. Email accounts needing attention to the Account Managers. Requirements & Qualifications Detail & problem-solving: strong problem-solving and attention to detail.
