Material Coordinator

The Material Coordinator is responsible for the receiving, identification, documentation, organization, staging, and control of materials used throughout the fabrication shop. This position plays a critical role in supporting production by ensuring the correct materials are available, properly identified, traceable, released for use, and staged according to the fabrication schedule.


The Material Coordinator serves as a primary liaison between the Shop Foreman, QA/QC, Purchasing, Project Management, forklift and material-handling personnel, welders, and fitters. The position requires strong organizational skills, attention to detail, effective communication, and the ability to anticipate production needs. The successful candidate will maintain accurate knowledge of what material is on hand, where it is located, which project it belongs to, and what materials are required next.


The goal of this position is to ensure production does not stop because material cannot be located, identified, verified, or properly staged.


The Material Coordinator will receive, identify, organize, stage, and issue fabrication materials in support of the production schedule. The coordinator will work closely with the Shop Foreman to understand upcoming fabrication priorities and ensure required materials, fittings, and components are prepared and available before they are needed.


This position is responsible for maintaining organized receiving, laydown, staging, quarantine, remnant, and completed-material areas. Materials must be properly segregated, clearly identified, and stored in a manner that allows fabrication personnel to efficiently locate and access the components required for their work.


The Material Coordinator will coordinate material movement with forklift operators and other material-handling personnel to ensure materials are moved safely and efficiently throughout the facility. The coordinator must maintain awareness of production priorities and adjust staging activities accordingly.


The Material Coordinator will coordinate the unloading and receipt of incoming pipe, fittings, flanges, valves, structural steel, consumables, and other project materials. Upon receipt, materials must be checked for quantity and basic identification against applicable purchase orders, packing lists, bills of material, or other project documentation.


Any shortages, overages, damaged materials, incorrect materials, or missing documentation must be identified and communicated immediately to the appropriate personnel. The Material Coordinator will work with QA/QC when receiving inspection or material verification is required.


Materials that have not been properly verified or that are subject to a quality hold or quarantine must be clearly identified and prevented from being issued to production until the appropriate release or approval has been received.

Material Traceability and Documentation


Maintaining accurate material identification and traceability is a critical responsibility of this position. The Material Coordinator will maintain heat numbers, material test reports/certificates (MTRs/MTCs), tags, markings, and other required traceability documentation in accordance with project requirements.


Project materials must remain properly segregated and clearly identified throughout the fabrication process. The coordinator will maintain accurate records of material received, issued, transferred, returned, scrapped, or placed on hold.


The Material Coordinator will coordinate with QA/QC to preserve material traceability whenever material is cut, separated, relocated, or otherwise altered. Usable remnants and drops must be properly identified and returned to inventory or placed in the designated storage area so they can be accurately accounted for and potentially reused.


The Material Coordinator will review upcoming production priorities with the Shop Foreman on a regular basis, with particular emphasis on staying ahead of fabrication requirements. Required material, fittings, and components should be staged in the sequence needed by production whenever practical, minimizing delays and preventing welders and fitters from having to search for or wait on required materials.


The coordinator will maintain awareness of inventory levels for commonly used shop materials and communicate replenishment needs through the appropriate Purchasing or Project Management channels. The position will also assist with inventory counts and investigate or reconcile inventory discrepancies as needed.
