We are seeking a high-caliber Legal Intake Specialist to serve as the primary point of contact for our law firm. This is a critical role that sits at the intersection of client service, administrative precision, and firm growth.

This is not a passive data-entry position. It is a fast-paced, high-engagement role for a professional who can empathize with potential clients in crisis while maintaining the discipline to qualify leads and secure commitments. We provide full training on our Legal Foundation and Intake Protocols.

Core Responsibilities

• Immediate Response: Maintain a "5-second rule" for all incoming calls and an 8-business-hour window for all inquiries.

• Lead Qualification: Conduct "warm calls" to prospective clients to determine legal eligibility and protect the firm from unqualified leads.

• Case Conversion: Guide qualified prospects through the intake process and close the "sale" by securing a consultation or a signed agreement.

• Document Preparation: Draft and send Client Agreements with flawless grammar and punctuation.

• Systems Management: Real-time data entry and management within CRM platforms, Microsoft 365, and Google Workspace.

• Administrative Flow: Balance high-volume phone work with meticulous file organization and follow-up tasks.

Candidate Requirements

• Experience: Proven background in Inside Sales or Telesales (Required).

• Communication: Fluent in US English (written and verbal) with a warm, professional phone presence.

• Resilience: Ability to handle rejection and emotional client situations with grace and a "growth mindset."

• Reliability: Must work US Eastern Standard Time (9:00 am 6:00 pm EST). SAST Equivalent: 3:00/4:00 pm 12:00/1:00 am depending on the season.

• Environment: A dedicated home office free from social media or domestic distractions.

Technical Specifications

• Hardware: Windows 11 PC, 16GB+ RAM, 500GB+ SSD, Intel 8th Gen (or equiv) or better.

• Power & Net: Uninterrupted Power Supply (UPS/Inverter) is mandatory. Fiber internet (100mbps+) connected via Ethernet cable (No Wi-Fi).

• Gear: Dedicated webcam, separate mouse, and high-quality noise-canceling headset.

• Base Salary: Positioned to cover all technology and overhead requirements.
