Office Administrator / Operations Coordinator

SERVPRO of South Palm Beach is seeking an experienced Office Administrator / Operations Coordinator with a background in the residential or commercial services industry (restoration, plumbing, HVAC, roofing, electrical, or similar). This role is critical to keeping daily operations running smoothly and supporting field teams, customers, and management. The ideal candidate understands the fast-paced nature of service-based businesses, is highly organized, and can confidently manage multiple priorities at once.

Key responsibilities include:

  • Answering incoming calls; providing professional, customer-focused communication
  • Scheduling jobs, coordinating crews, and managing calendars
  • Creating, processing, and tracking work orders, invoices, and documentation
  • Communicating with customers, vendors, subcontractors, and internal teams
  • Supporting billing, collections, and insurance or service documentation (where applicable)
  • Maintaining accurate records in CRM, job management, and accounting systems
  • Assisting management with reporting, follow-ups, and administrative tasks
  • Ensuring office processes stay organized, compliant, and efficient

Required experience and qualifications include:

  • 1+ years of office experience in a service business (restoration, HVAC, plumbing, roofing, electrical, etc.)
  • Strong organizational skills with excellent attention to detail
  • Professional phone and email communication skills
  • Ability to multitask and thrive in a fast-paced, deadline-driven environment
  • Proficiency with office software (Microsoft Office / Google Workspace)
  • Experience with scheduling, invoicing, or CRM/job management systems preferred

Preferred (not required):

  • Experience with insurance-related work, service billing, or job costing
  • Familiarity with Xactimate
  • Understanding of emergency or after-hours service operations

Compensation: $45,000.00 - $50,000.00 per year
