The Transaction Coordinator role exists to own transaction execution from contract to close - keeping every deal's documentation accurate, auditable, and moving on schedule so leadership always has a clear, real-time picture of where each closing stands.

Primary Job (The 80%):

Own day-to-day transaction execution so deals move from contract to close without surprises: manage transaction communications, chase deliverables, keep the transaction tracker current, organize documents, and coordinate closing logistics.

KEY RESPONSIBILITIES

Transaction communications & follow-up

• Review and manage all transaction-related emails and channels to keep deals moving and ensure the right parties are connected and responding.
• Proactively follow up with internal teams, title/escrow, lenders, attorneys, vendors and buyers/sellers to obtain documents, approvals and confirmations.

Transaction tracking & closing readiness

• Update the LAP / transaction tracker daily with current stage, outstanding items, responsible owners and upcoming deadlines.
• Maintain the transaction calendar and closing schedule so the team stays aware of all upcoming closings and critical milestones.

Document management & compliance

• Store and organize all transaction documents with correct file names, descriptions and folder structure for long-term reference and auditability.
• Review closing packets and summaries for completeness and notify owners of any missing or inconsistent items.

Closing logistics & vendor coordination

• Coordinate closing logistics, including scheduling closing appointments, confirming attendees, and arranging required on-site support.
• Call and schedule utility disconnections / transfers and other closing-day vendor tasks required for possession/close.

Meeting capture & continuous improvement

• Capture decisions, action items and follow-ups in transaction meetings and post-closing reviews; surface recurring bottlenecks and suggested process fixes.

• Emails, calls, chasing documents, and stakeholder coordination.

30% Tracker & closing readiness

• Daily LAP updates, milestones, and deadline management.

20% Document management & review

• Filing, naming, and validating closing packets.

5% Closing logistics & utilities

• Schedule closings, vendors, and utility disconnections.

5% Meeting notes & process improvements

• Capture action items and recommend workflow fixes.
