We are seeking a versatile Bilingual Office Assistant to ensure the smooth daily operations of our office. The ideal candidate is a highly organized professional who is fully fluent in both English and Spanish. You will be the backbone of our administrative processes—handling internal and external communications, managing detailed spreadsheets, and drafting essential documents. Whether you are tackling a solo project or jumping in to help the wider team, your adaptability will be key to your success.

Key Responsibilities

  • Administrative Support: Manage daily office operations, including answering phone calls, responding to emails, and directing inquiries to the appropriate team members in both English and Spanish.
  • Document & Data Management: Draft, format, and edit professional documents, memos, and reports with a high degree of accuracy.
  • Excel Mastery: Create, maintain, and edit detailed Excel spreadsheets to track data, manage schedules, or oversee project workflows.
  • Communication Hub: Serve as a reliable point of contact for clients, vendors, and internal staff, ensuring clear and professional communication across the board.
  • Workflow Coordination: Balance multiple tasks efficiently, knowing when to take independent initiative and when to collaborate seamlessly with the team.
  • File Organization: Maintain organized digital and physical filing systems for quick retrieval of important company records.

Required Qualifications

  • Language Skills: Full professional fluency in English and Spanish (both written and verbal) is strictly required.
  • Technical Proficiency: Strong computer skills with a high level of proficiency in Microsoft Excel (creating formulas, formatting, editing data) and managing email clients (Outlook/Gmail) and word processors.
  • Organizational Prowess: Exceptional organizational and time-management skills with a keen eye for detail.
  • Work Style: Proven ability to be a self-starter who works exceptionally well independently, while also thriving in a cooperative team dynamic.
  • Experience: Previous administrative, clerical, or office support experience.

Preferred Qualifications (A Major Plus!)

  • Industry Experience: Prior administrative experience working within the construction industry is highly desired. Familiarity with construction terminology, billing, or project coordination will make your application stand out.
