Payroll Specialist

Job Summary Our Payroll Specialist will work with a team to process multi‑state full‑cycle payroll for 500 weekly employees and 400 bi‑weekly employees, complete certified payroll reports in federal, DIR, and LCP tracker platforms, and handle payroll‑related issues. Essential Duties & Responsibilities Work closely with leadership at multiple locations to deliver excellent customer service related to the entire payroll process Coordinate with database administrators, human resources, and other departments to ensure proper flow and maintenance of employee data Answer and resolve all payroll related issues timely, elevate problems as necessary Ability to review, monitor, and calculate wages, tax deductions, overtime, etc. based on state and federal laws and regulations Ensure proper coding on all earnings and deductions by labor allocations for accounting Process and monitor garnishment orders Maintain and document all transactions with processing payroll Gather and process data from other databases into HRIS Accurately enter and document changes as needed to ensure precise and timely payroll processing Ensure company is set up for all states necessary for employee/employer/unemployment taxing Ability to balance payroll against other databases/reports Conduct payroll compliance checks ensuring employees are paid accurately and per Federal and State regulations Complete Certified Payroll Reports for assigned Prevailing Wage Jobs Continually upgrade knowledge and skill base related to the systems, processes, and requirements to maintain capabilities at the highest possible level Keep current with Federal and State tax changes as they occur Ensure that payroll related transactions follow external and internal policies Prepare, generate, and manage weekly, biweekly, monthly, quarterly, annually, and ad hoc reports as necessary Assist with special projects as needed This position may require travel to RailPros headquarters, field offices or client offices, work sites and other project related locations Contribute to a positive, inclusive, and respectful workplace culture, free from behaviors that undermine morale, productivity, or organizational values Uphold the organization’s standards of integrity, accountability, and respect in all duties and interactions Adhere to all company policies, procedures, and applicable laws and regulation Other duties as assigned or required to meet the business needs Qualifications Knowledge, Skills, and Abilities Applying logical thought processes and organizing resources in order to solve issues and meet commitments Making decisions and seizing opportunities in the context of BA business objectives Partnering effectively with others in order to achieve results Satisfying internal and external customer expectations and developing customer partnerships Proficiency with electronic communications including email and text as well as standard office applications (i.e., Microsoft Office Suite) Working knowledge of MS office software; MS Excel, Access, PowerPoint, Word, and Office Required Education and Experience Associate’s degree with 2 years’ experience while using a full‑service payroll processing system (Paycom, etc.) or equivalent experience Multi‑state payroll processing experience required High level of integrity Strong attention to accuracy and detail Strong interpersonal and communication skills Ability to work independently and as part of a team Strong organizational planning and time management skills Ability to protect confidential information Ability to perform in a fast paced and flexible environment Working knowledge of MS office software Excel, PowerPoint, Word Customer service focused Strong analytical skills Excellent communication skills, both written and verbal High level of initiative and professionalism Additional Preferred Qualifications, Certifications, Etc.
