Destination Sales & Services Coordinator

Company Description Visit Loudoun is the destination marketing organization (DMO) for Loudoun County and its incorporated towns. The organization develops and implements comprehensive destination sales and marketing programs designed to attract visitors to the region, increase visitor spending and support Loudoun’s economy and quality of life. Visit Loudoun also works collaboratively with the local tourism and hospitality industry to advance countywide destination development and create an exceptional experience for visitors to Loudoun.

Role Description The Destination Sales & Services Coordinator is at the heart of Visit Loudoun’s sales efforts—supporting the work that brings meetings and groups to Loudoun and helping ensure clients have a great experience along the way.

Working closely with the Director of Sales, Groups & Meetings and the sales team, this full-time position helps uncover new business, coordinate and track sales leads, connect meeting planners with Loudoun hotels and venues, and support clients from the initial inquiry through their time in the destination.

This is a hands-on role combining sales coordination, business development support, client services and destination knowledge. Responsibilities include researching prospective group business;
supporting prospecting and lead follow-up;
distributing leads to hotel and venue partners;
maintaining sales activity in Simpleview CRM;
and assisting with proposals, presentations and sales reporting.

The Coordinator also helps deliver the destination experience for our clients by coordinating amenities, destination information, site visits and familiarization tours. The role works closely with Loudoun’s hospitality community, supports industry events and trade shows, and helps coordinate sales communications and programs. This is a hybrid position based in Leesburg, Virginia, with a combination of in-office work and work-from-home flexibility.

What You'll Do

• Research prospective group business and support prospecting and lead follow-up.
• Distribute and track sales leads and partner responses.
• Maintain accurate account, lead and sales activity information in Simpleview CRM.
• Assist with proposals, presentations, sales reporting and Sales Plan initiatives.
• Coordinate client services, including amenities, destination information, site visits and familiarization tours.
• Build relationships with Loudoun hotels, venues and hospitality partners.
• Develop strong knowledge of Loudoun’s hotels, meeting venues, restaurants, attractions and destination experiences.
• Support trade shows, sales missions, industry events and other sales programs.
• Coordinate sales communications, including the quarterly Meet in Loudoun e-newsletter.
• Assist with partner meetings, sales projects, reporting and other team initiatives.

Qualifications

• Hotel, destination, venue or hospitality experience preferred;
  hotel or destination sales coordination experience is especially relevant.
• Familiarity with hotel sales and meeting operations, including leads, proposals, guestrooms, room blocks, meeting space and site visits.
• Experience using CRM systems;
  Simpleview experience is preferred but not required.
• Proficiency with Microsoft Office, including Excel and PowerPoint;
  Google Workspace experience is helpful.
• Strong organizational skills and the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication skills.
• Professional, personable and service-oriented approach.
• Proactive and dependable, with the confidence to take initiative.
• Strong relationship-building and teamwork skills.

Compensation - $35,200 - $65,200 depending on experience. Plus, opportunity to earn annual performance bonus. Comprehensive benefits package including health, dental, vision and 401k match.
