Position Summary
We are seeking a highly organized and customer-focused Sales & Customer Support Coordinator to provide administrative and operational support to our Sales and Customer Service teams. This role plays a critical part in ensuring a seamless customer experience by managing order processing, maintaining records, coordinating communications, and supporting day-to-day sales activities. The ideal candidate thrives in a fast-paced environment, enjoys working across multiple departments, and has strong attention to detail.
Key Responsibilities- Serve as the first point of contact for incoming calls, visitors, customers, and vendors, providing professional and friendly service.
- Create, edit, and distribute business documents, reports, presentations, spreadsheets, and correspondence for the Sales and Customer Service teams.
- Maintain accurate electronic and physical filing systems to support efficient record management and retrieval.
- Coordinate calendars, meetings, appointments, and conference calls.
- Assist with travel arrangements and expense reporting as needed.
- Monitor and replenish office supplies, forms, and departmental materials.
- Prepare customer quotes, sales acknowledgments, proposals, and other sales-related documentation.
- Enter, maintain, and update customer orders within the ERP/MRP system to ensure timely and accurate processing.
- Manage customer accounts, pricing information, and sales records.
- Generate reports and support tracking of sales performance and customer service activity.
- Coordinate distribution of product information, catalogs, and marketing materials.
- Provide administrative support related to customer orders, sales transactions, contracts, and supporting documentation.
- Ensure documents and records are complete, accurate, and maintained according to company standards.
- Support document retention initiatives and compliance-related recordkeeping practices.
- Collaborate with customers and internal teams to ensure effective communication and issue resolution.
- Partner with departments including Production, Purchasing, Shipping, Quality, Engineering, Accounting, Customer Service, and Sales to support business operations.
- Assist with special projects and other duties as assigned.
- Minimum 2 years of experience in customer service, sales support, administrative support, or a related role.
- Experience with order entry, data entry, and customer account management.
- Strong customer service mindset with excellent interpersonal and communication skills.
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Strong organizational, problem-solving, and time-management skills.
- Ability to work independently and collaboratively within a team environment.
- High level of professionalism and discretion when handling confidential information.
- Experience working in a manufacturing or industrial environment.
- Familiarity with ERP/MRP systems.
- Experience using CRM platforms, such as Salesforce.
- Knowledge of document control and records management processes.
- Ability to quickly learn new systems and adapt to changing business needs.
This is a fully onsite position operating Monday through Friday from 8:00 a.m. to 4:30 p.m. The role offers the opportunity to work closely with multiple departments, including Sales, Customer Service, Production, and Operations, providing valuable exposure to the overall business.
