Office Service Representative

Canon is on the search for an Office Service Representative to provide support to a large, fast-paced organization. This individual will be pivotal in the day-to-day support onsite.

This individual will:

• Manual box – open, print, mail/UPS policies on New, Renewal, Ends., Cxs. Handle special requests (print policies, and ID cards that no longer generate through local print)Do reprints/follow up on requests concerning manual policies that haven’t been received (check archives).
• Local print – read daily report, assemble prints, go into system and do print screen to email to staff member who worked on policy to see if OK to send, shred or if they need to add/delete any pages due to last minute changes, etc. Keep daily log of local print.
• Incoming mail and deliveries – open general mail and distribute, emails to staff regarding specifically addressed mail/packages.
• Email and re-mail/UPS packages to staff not located in Schaumburg.
• UPS – answer door for incoming deliveries, deliver packages/email recipients. Outgoing UPS – prepare packages and go into system to set up label/receipt and keep copies on file. Email receipt copies to sender.
• Mailroom equipment – maintain, refill, and trouble shoot jams, etc. Contact HelpDesk, emails/calls to setup appointments for repairs. Also, help maintain/unjam/refill supplies on other printers/copiers if needed.
• Restock and spot-inventory mailroom supplies weekly, order/email requests and follow up when needed. Put in requests for some office/kitchen supplies.
• Maintain daily logs for UPS on special accounts
• Maintain log for incoming checks for policy payment; enter in systems and forward to lockbox.
• Dust, sweep, clean mailroom. Put in requests for floor cleaning (mopping).
• Miscellaneous email and answer phone, general questions on supplies, department staff, take verbal requests for help in mailing/UPS, supplies, etc.
• Assist other departments with creating letters, etc. for outgoing correspondence, preparing accounts for brokers.
• Miscellaneous – walk in requests for help in locating supplies, best way to mail/ship out, etc. Fold/stuff cancel letters.
• Contact building security about any issues needing attention (leaking roof, plumbing, etc.) if I notice.
• Contact messenger service about mail pickups, holiday or early closings, etc.
• Create and post office Holiday and/or early closing signs.
• Prepare and post outgoing 1st class and certified mail.

Successful Individuals will possess:

High School Diploma or comparable work experience

Basic Qualifications:

• High School diploma or equivalent
• 2-5 years of mailroom or professional office environment
• May occasionally lift up to 50 lbs
• May regularly lift and carry up to 20 lbs. and move (push mail cart) over 50 lbs.
• Ability to work overtime & meet deadlines.
• Excellent customer service, professional attitude and appearance are a must.
