Property Admin & Marketing Assistant – Yuba Sutter Marketplace Ethan Conrad Properties Inc., Yuba City, California, United States. We are seeking a Property Administrative & Marketing Assistant to join our team! You will perform receptionist, clerical, and administrative functions to drive company success. About the Position Ethan Conrad Properties, Inc. is one of the largest and fastest growing commercial real‑estate companies in Sacramento, CA. With over 12 million square feet, more than 170 properties, and over 250 buildings valued at $1.7 billion, ECP has an annual growth of over 20 % for the past 10 years and anticipates continued growth of 20 % annually, creating more internal and external job opportunities. ECP is a world‑class company. Property Admin Duties Administrative Support – Performs administrative support and general office work or projects for GM, Operations, or other members of the mall or corporate team (including tenant move‑in packages, move‑out packages, tenant letters, vendor letters, etc.) Contracts – Works with Operations and the mall team to draft vendor contracts and bid comparisons Utility Management – Ensures utilities are transferred to the tenant’s name at move‑in and to the landlord at move‑out, ensures timely payment of all utilities and utility coordination for new move‑ins Leasing Support – Works with the leasing team to draft license agreements, lease agreements, and LOI comments for mall property, including editing lease & site plans and creating exhibits for prospective tenants and mall projects, along with PowerPoint presentations as needed Communication – Assists with information exchange and requests from vendors, contractors, mall customers, merchants and tenants Data and File Management – Collects and manages information necessary for the ongoing activities of the center Scheduling – Schedules meetings, conference calls and appointments as needed Property Strategic Goals – Assists in executing the strategic goals for the property and completing any individual goals Accounting – Processes invoices along with data management in Yardi, assists with corporate accounting needs for the mall property Office/Janitorial Supplies – Manages office equipment contracts and services, including ordering all office supplies and janitorial supplies for the center Property Walks – Creates work orders for any items found that need repair or replacement Key Control – Provides key control access for maintenance team Security – Occasionally assists security with alarm panels/lighting controls Contractor Roof Access – Manages contractor roof access Insurance Management – Ensures 100 % compliance with all tenants and vendors Assistant Marketing Duties Retailer Communications – Prepares and edits marketing memos, collateral and emails; assists with creating/designing marketing collateral (mall signage, parking lot light‑pole banners, etc.); interacts with customers via social media posts/messages and in‑office for various events Marketing Vendors – Assists the Marketing Manager with the facilitation of various marketing vendors, including contract preparation Marketing Events – Helps plan and implement marketing events/promos (Cinderella’s Closet, Scarecrow Contest, GWP, Giveaways, etc.), hands memos to tenants, discusses events, encourages tenant participation and follows up Community Outreach – Supports event and display partnerships Marketing Property Walks – Conducts daily walks to ensure marketing collateral stands are straight and undamaged; reports issues to the Marketing Manager for repair, removal or replacement Display Windows – Creates and installs marketing window displays (Halloween, Back to School, Holidays, etc.); ensures displays are intact, cleaned and assigns housekeeping if needed Holiday Support – When the Marketing Manager is absent, checks in with the Santa program team to ensure the workshop is clean, vacuumed and that they have handouts and coloring pages/crayons for children Kids Club – Assists with developing ideas for the monthly Kids Club program, attends these events, interacts with kids and parents, demonstrates crafts, registers future events and shares photos with the Marketing Manager for social posts Marketing Tools – Requires working knowledge of Excel, Publisher, PowerPoint, Adobe, Foxit, Photoshop and InDesign; prepares and edits Excel spreadsheets, flyers, presentation decks and documents Knowledge, Skills, and Abilities Previous experience in office administration or related fields Ability to prioritize and multitask Excellent written and verbal communication skills Strong attention to detail Strong organizational skills Exceptional typing skills Efficiency with Outlook EEO Statement At Ethan Conrad Properties, we pride ourselves on our collaborative culture, which can be seen throughout every step of an ECP employee’s journey.
