Operations Coordinator (with Executive Support)

AltaCair Foundation is seeking a highly organized and mission-driven Operations Coordinator to support daily operations, program logistics, and executive functions. This role is critical in ensuring efficient internal processes while supporting leadership in advancing community-based health initiatives across underserved colonias in the Rio Grande Valley. The ideal candidate is detail-oriented, adaptable, and passionate about improving community health outcomes. Key Responsibilities Operations & Administrative Coordination Coordinate day-to-day administrative operations of the foundation Manage schedules, calendars, and meeting logistics for programs and leadership Maintain organized records, documentation, and filing systems Support procurement, inventory tracking, and supply coordination for events and programs Assist with coordination of community events, health fairs, and outreach initiatives Program & Community Support Provide logistical support for community-based programs (e.g., food distribution, community fair, poverty simulation, health initiatives) Track attendance, participation data, and program outcomes Assist with preparation of reports for grants, partners, and stakeholders Support communication with community partners and volunteers Executive Assistance Duties Provide direct administrative support to the CEO/leadership team Schedule meetings, prepare agendas, and take meeting notes Draft emails, correspondence, and basic reports on behalf of leadership Assist with donor tracking, follow-ups, and stakeholder communications Support coordination of board meetings and partner engagements Data & Reporting Maintain accurate data entry for programs, outreach, and impact metrics Assist in compiling reports for grant applications and funders Ensure confidentiality and integrity of organizational data Required Qualifications 1–3 years of experience in administrative, operations, or nonprofit roles Strong organizational and time management skills Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to multitask and adapt in a fast-paced, community-focused environment Preferred Qualifications Experience in nonprofit or community-based work Familiarity with grant reporting or data tracking Bilingual (English/Spanish) strongly preferred Equal Opportunity Statement AltaCair Foundation is an equal opportunity employer committed to diversity, equity, and inclusion in all aspects of employment.
