Location: Katy, TX 77493

Reporting To: CEO

FLSA Status: Non-Exempt

Position Summary

The Executive Assistant is a highly organized and detail-oriented professional responsible for delivering high-level administrative support to the Strategic Team. This role ensures smooth front-desk operations while enabling senior leadership to remain focused and productive. Key responsibilities include calendar management, meeting coordination, communication support, travel and expense management, and maintaining a professional office environment.

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars, meetings, and scheduling across multiple stakeholders
  • Prepare meeting materials, agendas, and logistics for executives
  • Draft and coordinate professional correspondence
  • Maintain organized filing systems (electronic and physical)
  • Handle confidential information with discretion

Meetings & Communication

  • Coordinate internal and external meetings, including logistics and technical setup
  • Capture and distribute meeting minutes and track action items
  • Ensure alignment and follow-through on key initiatives

Travel & Expense Coordination

  • Arrange domestic and international travel
  • Manage expense reporting (Concur/Ramp) and receipt submissions
  • Collaborate with Accounting/AP for timely processing

Office & Front Desk Operations

  • Serve as the first point of contact for visitors and incoming calls
  • Maintain a professional and organized office environment
  • Manage conference rooms, visitor logs, and office supplies
  • Coordinate with vendors and oversee workplace operations

Event & Culture Support

  • Plan internal events and employee engagement activities
  • Support company-wide meetings and leadership events
  • Assist with culture initiatives and recognition programs

Operational & Project Support

  • Assist with cross-functional projects and strategic initiatives
  • Maintain SOPs and process documentation
  • Provide administrative support across departments (HR, Accounting, Operations)

General Administrative Duties

  • Manage mail, shipments, and courier services
  • Order office supplies and coordinate services
  • Support document processing and recordkeeping

Requirements

Required Qualifications

  • 5+ years of experience supporting senior executives
  • Strong organizational and time management skills
  • Exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Experience in fast-paced, multi-priority environments
  • Proactive, resourceful, and solution-oriented mindset
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience with expense tools such as Concur or Ramp
  • Familiarity with ERP, CRM, and document management systems
