Job Description:

The Human Resources Coordinator provides administrative and operational support across key HR functions, including recruitment, onboarding, employee records, HRIS transactions, leave administration, workers’ compensation, compliance, and employee engagement. This role serves as a resource for employees and managers while ensuring HR processes are completed accurately, efficiently, and in accordance with company policies.

Responsibilities

Recruitment & Pre‑Employment

• Monitor the background check portal and follow up on pending background checks.
• Maintain accurate background check tracking records.
• Notify recruiters and hiring managers when background checks are complete.
• Support the pre‑employment process once a candidate’s start date is confirmed, including: Process new hires in Workday. Send welcome communications to new hires. Provide hiring managers with instructions for requesting IT equipment, phones, and workspace setup. Update onboarding trackers with start dates and required information. Add new hires to the HR calendar for first‑day tracking.

New Hire Onboarding

• Welcome and assist new hires on their first day.
• Create employee badges and complete face scan requirements.
• Collect and verify I‑9 documentation.
• Submit required onboarding documentation and site information to TSG.
• Upload completed face scan documentation to employee Workday profiles.
• Prepare onboarding materials and maintain new hire records.
• Schedule and facilitate New Hire Orientation (NHO).

Employee Conversions

• Support the conversion process for temporary employees transitioning to regular employment.
• Open requisitions for conversion employees.
• Partner with managers to obtain required employee information.
• Initiate and monitor background checks.
• Track requisitions, offers, and conversion progress.
• Process conversion hires in Workday.
• Schedule and conduct New Hire Orientation for converted employees.

Employee Terminations & Offboarding

• Process employee terminations in Workday.
• Coordinate exit meetings and prepare required termination documentation.
• Communicate termination timing and requirements with managers.
• Support performance‑related termination processes in coordination with HR leadership.
• Upload completed termination documentation to employee files and Workday.
• Send termination notifications.
• Coordinate badge deactivation.
• Ensure returned equipment is delivered to TSG and maintain confirmation records.

HRIS, Employee Records & Administrative Support

• Process employee changes in Workday, including transfers, department changes, promotions, and other job‑related updates.
• Process written employment verification requests.
• Maintain accurate employee records and HR files.
• Complete monthly and quarterly HR audits.
• Prepare New Hire Orientation and termination packets.
• Maintain HR trackers, spreadsheets, and reporting documentation.
• Prepare HR reports and workforce metrics as requested.
• Maintain labor law posters and required workplace postings.
• Maintain the EV Charging program spreadsheet and distribute employee instructions.

Leave of Absence (LOA)

• Maintain leave tracking records.
• Communicate employee leave status updates with managers and the Benefits team.
• Support HR documentation related to employee leaves.

Workers’ Compensation

• Maintain workers’ compensation tracking records.
• Document new workplace injuries and update case information.
• Track employee status following medical appointments.
• Communicate work restrictions and accommodation updates with managers.
• Notify the Benefits team when employees are placed off work.

Employee Engagement & HR Support

• Support employee engagement initiatives and employee engagement surveys.
• Assist with HR projects and administrative initiatives.
• Provide general HR administrative support to employees and managers.
• Perform additional HR duties and special projects as assigned.

Qualifications

Proven ability to communicate clearly and effectively both orally and written at all levels within the organization. Demonstrated ability to work in a fast‑paced, ever‑changing environment and ability to maintain a high level of confidentiality. Must possess strong organizational skills. Ability to prioritize and manage multiple tasks and requests from several sources.

Hourly Range

Hourly Range -$20-$28/hr
