Arkansas Enterprises for the Developmentally Disabled (AEDD) is seeking a highly organized, detail-oriented, and professional Executive Assistant to support the Director of Development and Administrative Team. This position serves as a key administrative support role for the organization while assisting with marketing, fundraising, and special events.

This is an excellent opportunity for an experienced administrative professional who enjoys managing multiple priorities, supporting executive leadership, coordinating projects, and ensuring the efficient operation of administrative functions.

Position Summary

Working under the direct supervision of the Director of Development, the Executive Assistant provides executive-level administrative, clerical, and secretarial support to the Marketing and Development Department and Administrative Team. This position is responsible for coordinating communications, preparing reports and presentations, maintaining records, assisting with meeting & event preparation, managing schedules and events, and supporting fundraising and marketing initiatives.

The ideal candidate is highly organized, self-motivated, professional, and capable of handling confidential information with discretion while maintaining a positive and service-oriented attitude.

Essential Duties and Responsibilities

  • Provide administrative support to the Director of Development, CEO, and Administrative Team.
  • Prepare correspondence, reports, meeting agendas, presentations, and other organizational documents.
  • Coordinate meetings, appointments, and special events.
  • Assist with preparation and organization of meetings & events.
  • Maintain confidential records, files, and organizational documents.
  • Manage incoming and outgoing communications, mail, and messages.
  • Coordinate facility usage and scheduling for the multipurpose building.
  • Maintain inventories of office supplies, promotional materials, and event supplies.
  • Assist with purchasing and vendor coordination as needed.
  • Support fundraising activities by maintaining donor database and assisting with event logistics.
  • Assist with volunteer auxiliary activities, communications, and meeting coordination.
  • Create and distribute marketing materials, newsletters, and social media content.
  • Assist with community outreach activities and organizational presentations.
  • Reconcile fundraising income and expenses with accounting reports.
  • Perform other administrative and support duties as assigned.

Qualifications

The ideal candidate will have at least three years of administrative support experience and strong organizational, communication, and multitasking skills. Proficiency in Microsoft Office Suite is required, along with the ability to maintain confidentiality, work independently, and manage multiple priorities. Experience with social media, Canva, website management, fundraising support, or donor database software is preferred.
