Position Summary
As a Workplace Experience Coordinator , you will be responsible for delivering a world-class customer service experience to employees, guests, and visitors within a designated building. This role is part of the Workplace Experience function , focused on creating a welcoming, efficient, and professional workplace environment.
Key Responsibilities
Front Desk & Guest Services
- Serve as the first point of contact for all visitors entering the facility.
- Greet guests with a professional, friendly, and welcoming demeanor.
- Issue visitor badges and parking passes while following security protocols.
- Answer and direct telephone calls professionally.
- Coordinate workplace services, including:
- Mail services
- Office supply management
- Employee onboarding support
- Manage janitorial and maintenance service requests/work orders.
- Organize and manage on-site events.
- Coordinate event logistics, including:
- Securing event space
- Room setup and teardown
- Ordering and delivering supplies
- Support presentations and communicate effectively with groups of varying sizes.
- Coordinate with vendors providing workplace goods and services.
- Arrange and confirm recreational, dining, and business-related activities on behalf of employees and stakeholders.
- Respond to employee, visitor, and coworker inquiries.
- Address complaints professionally and provide appropriate solutions.
- Deliver exceptional customer service while maintaining a positive workplace experience.
- Follow site-specific security and emergency procedures.
- Notify appropriate personnel during emergencies or safety-related incidents.
- Help ensure the safety and security of all building occupants.
- Explain detailed information to team members and stakeholders as required.
- Follow manager instructions and established workplace procedures.
- Use defined processes to resolve routine and straightforward issues.
- Perform duties with accuracy, consistency, and professionalism.
Required Qualifications
Education
- High School Diploma or GED
- Up to 2 years of job-related experience
- Strong customer service orientation
- Excellent verbal and written communication skills
- Ability to follow established work routines and standards
- Strong organizational and multitasking abilities
- Detail-oriented with an inquisitive mindset
- Ability to solve routine problems using existing procedures
- Professional demeanor when interacting with employees, guests, and vendors
Technical Skills
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- General Microsoft Office Suite proficiency
Preferred Attributes
- Experience in workplace services, reception, hospitality, office administration, or facilities support
- Strong event coordination and scheduling skills
- Ability to work effectively in a fast-paced, customer-focused environment
