The Parts Specialist / Shipping & Receiving Clerk supports customers by processing parts orders, preparing quotes, coordinating inventory, and conducting technical parts research. This role serves as a key link between customers, operations, warehouse personnel, and internal departments to ensure accurate and timely fulfillment of parts orders. The position combines customer service, inventory management, and shipping and receiving responsibilities in a fast-paced environment that values mechanical aptitude and strong communication skills.

Responsibilities

• Process customer parts orders and quote requests accurately and efficiently.

• Provide customers with pricing, availability, and lead-time information for parts and related products.

• Respond to customer inquiries via phone and email with clear, professional communication.

• Research parts using manuals, bills of materials (BOMs), parts books, and technical documentation to identify correct components.

• Track open orders, monitor status, and expedite shipments to meet customer expectations and ensure satisfaction.

• Coordinate daily with warehouse, inventory, purchasing, and production teams to support seamless order fulfillment.

• Support shipping and receiving activities, including picking, packing, and preparing orders for shipment, as needed.

• Maintain inventory accuracy by monitoring stock levels and helping ensure appropriate replenishment.

• Process product returns, exchanges, and substitutions in accordance with company procedures.

• Review backorders and special-order holds, working to resolve delays and communicate status updates.

• Analyze delivery performance and identify opportunities to improve lead times, accuracy, and service quality.

• Promote aftermarket parts programs and identify opportunities to increase parts sales.

• Maintain accurate and up-to-date order documentation within ERP systems and related tools.

• Assist with cycle counts and inventory audits to support effective inventory control.

• Provide exceptional customer service while balancing the need to maximize parts sales and operational efficiency.

• Support general warehouse operations, including picking, order selection, packaging, and material handling, as required.

• Coordinate freight and logistics details to ensure timely and cost-effective shipments.

• Perform data entry related to orders, inventory transactions, and shipping documentation with a high level of accuracy.

Essential Skills

• At least 2 years of experience in parts, customer service, inventory, warehouse, shipping and receiving, or industrial distribution environments.

• Strong mechanical aptitude with the ability to understand and interpret parts and equipment.

• Experience reviewing technical documents, parts manuals, or bills of materials (BOMs).

• Customer-facing experience via phone and email, providing professional and responsive support.

• Strong problem-solving and troubleshooting abilities in a fast-paced environment.

• Excellent verbal and written communication skills.

• Intermediate Microsoft Office skills, particularly in Excel and Outlook.

• Ability to lift up to 50 lbs to support warehouse and material handling tasks.

• Ability to work comfortably in both warehouse and office settings.

• Proficiency with ERP systems for order entry, inventory management, and documentation.

• Experience with parts research, including identifying correct components from technical sources.

• Demonstrated capability in order processing and parts quoting.

• Hands-on experience with inventory management and inventory control practices.

• Competence in shipping and receiving functions, including basic logistics coordination.

Additional Skills & Qualifications

• Experience supporting manufacturing, heavy equipment, agriculture equipment, fleet, automotive, construction equipment, or industrial products.

• Prior experience with inside sales or working at a parts counter.

• ERP system experience, including platforms such as Oracle ERP.

• Background in inventory control, including cycle counting and inventory audits.

• Shipping and receiving experience in a warehouse or distribution environment.

• Purchasing or order processing experience beyond basic order entry.

• Knowledge of freight, logistics, and warehouse operations.

• Experience with warehouse operations such as picking, order selection, packaging, and packing.

• Data entry experience with a strong focus on accuracy and speed.

• Material handling experience in a warehouse or industrial setting.

• Familiarity with technical documentation, including BOM interpretation and parts books.

• Experience coordinating returns processing and handling exchanges and substitutions.

• Comfort working with aftermarket parts programs and identifying sales opportunities.

Work Environment

This role operates in a combined warehouse and office environment as part of an aftermarket team that is expanding into a new facility in Wooster. The position involves frequent interaction with operations, warehouse, inventory, purchasing, and production teams, as well as direct communication with customers by phone and email. You will regularly use ERP systems, Microsoft Excel, Outlook, and other office and warehouse technologies to manage orders, inventory, and shipping documentation. The work includes time in a warehouse setting with typical material handling activities, such as picking, packing, and moving parts, as well as periods of desk-based work focused on order processing, technical research, and customer support. The environment is fast-paced and collaborative, with a focus on accuracy, timely order fulfillment, and continuous improvement in delivery performance and customer service.

Job Type & Location

This is a Contract to Hire position based out of Wooster, OH.

Pay and Benefits

The pay range for this position is $22.00 - $22.00/hr.
