Job Summary and Qualifications

The Legal Specialist supports Parallon Legal functions and works under the direction of Senior Counsel, Associate Managing Counsel, and Managing Counsel. The Legal Specialist will assist Parallon Legal teams in coordinating, organizing, tracking, and managing responses to regulators. The Legal Specialist works closely with Parallon Legal, Compliance, facility, and regional leadership teams, and other stakeholders to coordinate regulatory responses and investigations, maintain accurate matter information and reporting, monitor deadlines, and support the effective administration of Parallon Legal programs. The Legal Specialist may also support Parallon Legal's transactional, litigation, regulatory, and other areas of legal support provided to Parallon.

Duties (included but are not limited to):

• Coordinates intake, organization, and tracking of escalated patient and/or regulatory inquiries escalated to Parallon Legal.
• Maintains the PIC matter inventory, including key dates, response deadlines, status, responsible stakeholders, and supporting documentation; proactively follows up on outstanding items and escalates deadline or response risks to Senior Counsel.
• Assists Senior Counsel with initial issue and matter triage by identifying the involved facility, patient account, operational issue, regulatory agency, response deadline, and other information necessary for legal review.
• Coordinates fact gathering with hospital and compliance team members and other internal stakeholders, including obtaining account notes, billing records, correspondence, policies, call information, and other materials relevant to the matter.
• Organizes and summarizes factual information and supporting documentation for attorney review; identifies apparent gaps, inconsistencies, or follow-up items requiring additional investigation.
• Under the direction of Senior Counsel, assists with preparation, formatting, and assembly of regulatory responses, regulatory correspondence, exhibits, and supporting materials.
• Coordinates submission and documentation of approved responses through applicable agency portals, email, mail, or other approved channels, as directed by Senior Counsel.
• Maintains complete and accurate electronic matter files and records of communications, submissions, deadlines, and dispositions in applicable Legal and business systems.
• Communicates professionally with internal stakeholders and regulatory agencies regarding information requests, deadlines, status updates, and required follow-up while appropriately escalating legal questions to counsel.
• Supports Senior Counsel in coordinating with HCA Healthcare legal departments, compliance personnel, hospital leadership, operational teams, and outside counsel, as appropriate.
• Assists with complaint-related matters involving patient billing, collections, financial assistance, payment plans, insurance processing, pricing or estimates, and other revenue cycle issues, under attorney direction.
• Prepares recurring and ad hoc reports regarding complaint volume, aging, status, response timeliness, disposition, and other metrics requested by Legal leadership.
• Assists in identifying recurring complaint themes and operational trends and supports development of reports, presentations, process improvements, and educational materials.
• Under the direction of Senior Counsel, prepare training materials and assists with training for Parallon and facility personnel regarding complaint processes, documentation expectations, escalation pathways, and related legal or regulatory requirements.
• Coordinates and supports special projects involving patient complaints, regulatory implementation, No Surprises Act compliance, price transparency matters, and other patient financial services issues, assigned by Senior Counsel.
• Protects confidential, privileged, and patient information and follows applicable privacy, information security, records management, and Legal department requirements.
• Acts as a collaborative team member, accepts responsibilities willingly, and proactively assists other members of Parallon Legal as business needs require.
• Practices and adheres to HCA Healthcare and Parallon policies, the "Code of Conduct" philosophy and "Mission and Value Statement".

• Interpersonal skills - Works effectively and respectfully with attorneys, hospital and revenue cycle leaders, operational colleagues, patients or patient representatives when applicable, and external parties.
• Patient and stakeholder orientation - Approaches complaint matters with professionalism, discretion, empathy, and an understanding of the impact that revenue cycle interactions can have on the patient experience.
• Analytical skills - Reviews account information and supporting documentation, identifies relevant facts and discrepancies, and organizes complex information into clear summaries for attorney review.
• PC skills - Demonstrates proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and other systems and applications required to manage complaint matters and reporting.
• Policies and procedures - Demonstrates the ability to learn and apply organizational policies, procedures, workflows, and systems and to maintain confidentiality of privileged and sensitive information.
• Healthcare revenue cycle knowledge - Working knowledge of healthcare billing, insurance, collections, patient financial services, or related healthcare operations is preferred.
• Regulatory awareness - Ability to develop and maintain working knowledge of federal and state requirements affecting patient financial interactions and complaint response processes, under the direction of counsel.

Education:

Bachelor's degree preferred. Equivalent relevant work experience may substitute for education requirements.

Experience:

Minimum two years of legal, regulatory, healthcare, patient financial services, revenue cycle, complaint management, or related experience preferred.

Experience coordinating time-sensitive matters involving multiple stakeholders and maintaining detailed case or project tracking is preferred.

Certificate/License:

RHIA, RHIT and/or CCS strongly preferred
