Billing Administrator

Project Accounting CoordinatorA well-established construction organization is seeking a detail-oriented Project Accounting Coordinator to support billing, job costing, accounts receivable, and compliance activities across active projects. This position plays a key role in maintaining accurate project financial data, supporting collections efforts, ensuring regulatory compliance, and assisting with day-to-day accounting operations.The ideal candidate is analytical, highly organized, and comfortable working with large amounts of data in Excel and have exposure to billing, project accounting or construction accounting.Key Responsibilities:Prepare and process customer invoices and billing documentationAssist with construction project billing and material sales invoicingMonitor accounts receivable aging and assist with collections follow-upRespond to customer inquiries regarding invoicing, pricing, and tax-exempt statusTrack and record incoming customer paymentsProject Accounting & Job Cost Support:Reconcile project costs and identify discrepanciesReview labor allocations and job cost reportingCode invoices and credit card transactions to appropriate jobs and cost categoriesSupport subcontractor payment processing and documentation reviewAssist with certified payroll tracking and project-related reportingCompliance & Administrative Support:Process and maintain lien waiversManage and track tax-exempt certificates and supporting documentationSupport business license renewals and regulatory filingsAssist with contractor prequalification packages and compliance requirementsMaintain organized project and accounting recordsQualifications:Strong Microsoft Excel skills including:Pivot TablesVLOOKUP and XLOOKUP functionsData analysis and problem solvingStrong attention to detail and organizational skillsExcellent communication and customer service abilitiesAbility to manage multiple priorities and deadlines1-3 years of experience in billing, accounting support, accounts receivable, or project accountingConstruction industry experienceExposure to job costing and project accounting processesExperience with lien waivers, payment applications, or compliance documentationExperience with construction ERP systems such as Trimble Viewpoint VistaEducation:Bachelor's degree in Accounting, Finance, Business, Construction Management, or a related field preferredRecent graduates with strong Excel skills and internship or accounting experience are encouraged to applyWork Environment:Fully onsite positionSome flexibility in scheduling and occasional work-from-home opportunities when business needs allowCollaborative team environment with close interaction across accounting, finance, and operationsCompensation & Benefits:Starting at $50,000 annual base compensation and going up based in experienceOvertime opportunities availableCompany performance bonus program with potential payouts up to 25%Career growth opportunities within a stable construction organizationIf you enjoy working with numbers, solving problems, and supporting large-scale construction projects through billing and project accounting, we'd love to hear from you.
