We are seeking a highly organized, detail-oriented Product & Purchasing Assistant to support our Purchasing Manager. This position helps keep purchase orders, product information, pricing, and availability accurate and current across multiple systems.

Our business manages a large number of products and a high volume of activity. The right candidate is comfortable working extensively on a computer, managing detailed information, and following through on tasks in a fast-paced environment.

Responsibilities

• Enter and update purchase orders accurately.
• Create and maintain product information across multiple systems.
• Update product pricing and availability.
• Use Microsoft Excel to organize, review, and maintain product and purchasing data.
• Communicate with vendors regarding orders, product information, availability, and delivery schedules.
• Follow up on outstanding purchase orders with vendors and communicate delays or discrepancies to the Product Manager.
• Identify missing or inconsistent information and help resolve it.
• Coordinate with internal teams to ensure inventory levels and meet sales demands, review product data and descriptions, and help identify new product opportunities.
• Update internal systems with product and purchasing information, resolve basic order or delivery issues, and help maintain organized documentation for purchasing and product catalogs.
• Assist with other data entry, record maintenance, and product management tasks.

Qualifications

• Excellent attention to detail and a consistent commitment to accuracy.
• Strong computer skills, including confidence navigating multiple applications and learning new systems.
• Proficiency in Microsoft Excel, including entering and editing data, sorting, filtering, and working with spreadsheets.
• Strong organizational skills and the ability to manage competing priorities.
• Clear, professional written and verbal communication for coordinating with vendors, internal teams and management.
• Dependable follow-through and the judgment to ask questions when information is unclear.
• Comfort working with a large product catalog and a high volume of detailed transactions.
• Experience in purchasing support, product administration, inventory data, or a similar administrative role is a plus.
• Ability to prioritize tasks, work in a fast-paced environment, and meet deadlines with minimal supervision.
• Comfort working on-site in an office and warehouse setting, including occasional handling or checking of physical products.
• This role requires consistent in-person collaboration with colleagues in the office and warehouse environment.
• Previous experience in purchasing, inventory control, retail or consumer goods is preferred but not required.
• High school diploma or equivalent required; additional coursework or degrees in business, supply chain or a related field a plus.
