Full-Time Facility Administrator

Job Overview The Full-Time Facility Administrator assures that the day-to-day operations of the on-site facilities run smoothly by assisting the General Manager. This position supports the General Manager and is responsible for meeting assigned goals and objectives, ensuring effective and efficient day-to-day operations of the community, upholding the aesthetics of the community as directed by the Board, and ensuring that the highest level of service is provided to residents, their families, friends, and guests. Compensation $21-24/hr Your Responsibilities Greeting Residents and Guests: welcoming residents with a smile and verbal greeting. Facility Opening and Closing Procedures Telephone – first in line for all incoming calls. Telephone system message maintenance, routine system maintenance, system programming. Updating of Age Verification process Coordinate facility rental requests Maintain and update the website with current documents and resident information. Connect – Workorder System Monitoring and Input Connect – Customer Service Update Calls Register new homeowners and issue access cards and transponders. Assist in ensuring that the facility amenities are properly maintained and repaired as needed. Assist in the implementation of the association’s rules and regulations as they relate to the community facility. Receives and processes mail as directed. Committee Meeting Support – room setup, break down, food and beverage coordination. Respond to homeowner inquiries regarding usage and general facility issues in a professional manner. Assist the Architectural Review Committee with application intake and management. Ensure all customer service calls and related work orders are handled in accordance with established procedures. Represent professionalism and FirstService Residential's standards of operations to clients and fellow staff at all times. Perform other duties as required based on Board of Directors’ requests, supervisor instructions, or as deemed appropriate. Skills & Qualifications Interfaces with homeowners, customers, and co-workers. Great attendance, good work quality, positive contributor, works well in a team environment, strong people skills. High proficiency in PC technology, club management system, and all MS Office applications. Excellent written and verbal skills. Excellent time management, organizational, and follow‑up skills. Ability to manage competing priorities and assignments. Comfortable working in a fast‑paced environment with continuous improvement. Flexible and adaptable to rapid change. Strong customer‑service skills required for face‑to‑face interactions with members, residents, developers, potential home buyers, and the general public. Ability to independently answer and place telephone calls, and listen to voice mail messages. Ability to handle difficult clients and personalities with strength and professionalism. Effective teamwork, constructive communication, and commitment to diversity. Education & Experience High School Graduate Proficient in English. Excellent general math skills. Ability to gather information quickly and make sound decisions without supervision. Physical Requirements And Working Environment Must be able to lift 25 lbs., set up and remove tables and chairs for events. Must be able to sit and stand for extended periods. Must be able to move around the property to oversee vendors and attend events. Must have finger dexterity for typing/using a keyboard. Occasional overtime may be required based on business needs. Consistent and regular attendance required.
