Office Administrator – (2-15 Licensed)

We are seeking a detail-oriented and organized Office Administrator to support a growing financial services team. The ideal candidate will have 3–5 years of administrative experience in an insurance or financial services environment, an active 2-15 license , and a solid understanding of annuities, life, and health insurance products .

Key Responsibilities:

• Manage day-to-day office operations, including scheduling, correspondence, filing, and client communications.
• Provide administrative support to licensed insurance and financial professionals.
• Assist with life, health, annuity, and insurance-related applications, forms, and documentation .
• Have a working understanding of annuities , including applications, policy paperwork, client service requests, and basic product terminology.
• Maintain accurate client records and ensure documents are complete and up to date.
• Assist with 2-15 licensed activities , including client follow-up, policy paperwork, and servicing requests.
• Coordinate client appointments, meetings, and follow-ups.
• Communicate with clients, insurance carriers, and other external partners as needed.
• Assist with reports, spreadsheets, presentations, and other administrative projects.
• Maintain confidentiality of sensitive client and financial information.
• Help ensure office procedures and documentation follow company and regulatory requirements.
• Handle incoming calls, emails, and client inquiries in a professional and timely manner.

Qualifications:

• 3–5 years of administrative experience in insurance, financial services, or a related industry.
• Active 2-15 Health & Life license required.
• Working knowledge of annuities is required.
• Familiarity with life and health insurance products and related documentation.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office, especially Word, Excel, and Outlook .
• Strong attention to detail and ability to handle confidential client information.
• Professional, client-focused demeanor.
• Ability to work independently while supporting a team of licensed professionals.
