Client Services Coordinator

Play a Key Role in Delivering Exceptional Client Services Vrakas CPAs + Advisors is seeking a highly organized, detail-oriented, and client-focused Client Services Coordinator to support our tax professionals in our Brookfield office. This role serves as a central point of coordination throughout the tax engagement lifecycle, managing client communication, tracking deliverables, and ensuring workflows stay on track. Functioning similarly to a project coordinator, this position allows our tax professionals to focus on high-level advisory work while ensuring clients receive timely, accurate, and professional service. The ideal candidate is a proactive communicator who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in delivering a high-quality client experience. This role plays a key part during our busy season (January–April), when priorities move quickly. Additional hours may be required. Outside of peak season, workloads are more predictable. Why This Role Stands Out Be a key partner to tax professionals and firm leadership Gain exposure to public accounting operations and client workflows Play a meaningful role in delivering a high-quality client experience Work in a collaborative, team-oriented environment where your contributions are visible and valued Responsibilities Client Communication & Relationship Support Serve as a primary point of contact for administrative and engagement-related client communication Proactively communicate with clients regarding missing documentation, timelines, and next steps Deliver a high-touch, professional client experience through clear and timely communication Escalate technical or strategic matters to the appropriate tax professionals Engagement & Project Coordination Ensure tax engagements progress efficiently from intake through completion Maintain accurate status tracking and organized workflows across multiple engagements Monitor deadlines and follow up proactively to keep work on track Identify opportunities to improve communication and workflow efficiency Document Management & Organization Oversee the secure intake, organization, and tracking of client documents Ensure documentation is complete, properly labeled, and accessible to the team Maintain accurate records within tax and document management systems Shareholder & Team Support Act as a trusted support resource for tax shareholders and team members Anticipate client needs and address potential issues proactively Assist with billing and administrative tasks as needed Uphold firm and client confidentiality at all times Preferred Qualifications 2–5+ years of administrative, client service, or professional services experience (public accounting or tax experience preferred) Strong organizational skills with exceptional attention to detail Ability to manage multiple priorities and deadlines in a fast-paced environment Excellent written and verbal communication skills Professional demeanor and confidence when interacting with clients High level of discretion and integrity Advanced proficiency in Microsoft Office; ability to learn firm systems quickly Experience working across multiple professional services systems (tax, document management, CRM, portals) What Success Looks Like in This Role Clients feel well-informed, supported, and confident in the firm’s process Tax Shareholders are able to focus on strategy and advisory work Engagements move efficiently with minimal last-minute issues Client information is complete, accurate, and well-organized Communication is proactive, professional, and consistent Why Vrakas?
