Accounting & Administrative Assistant

A Japanese Trading Company is looking for an Accounting & Administrative Assistant to join its team in Lexington, KY.

Employment Type: Full-time or Part time.


Schedule: Monday - Friday

Position Summary


A growing trading company is seeking an Accounting & Administrative Assistant to support accounting operations, purchasing and inventory management, customer and vendor coordination, and general office administration. This position is ideal for someone who enjoys a variety of responsibilities and thrives in a detail-oriented environment.


Key Responsibilities


Accounting & Finance

  • Prepare and issue customer invoices
  • Process incoming payments and vendor payments
  • Support utility, insurance, and other company payments
  • Assist with sales tax and other tax-related filings in coordination with an external accounting firm
  • Review and reconcile bank transactions
  • Prepare monthly accounting reports
  • Manage and enter company credit card transactions
Purchasing & Inventory Management
  • Process purchasing and receiving activities
  • Maintain and update inventory records
  • Register and maintain vendor and customer information
  • Support order processing and documentation
Administrative Support
  • Order and maintain office supplies and consumables
  • Handle mail distribution and banking-related tasks
  • Coordinate business card and printed material orders
  • Communicate with internal teams, vendors, customers, and external service providers
Additional Duties
  • Perform other administrative and operational duties as assigned
Qualifications


Required
  • Proficiency in Microsoft Excel
  • Basic accounting, bookkeeping, or administrative experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Effective English communication skills
  • Ability to work collaboratively with internal and external stakeholders
Preferred
  • Japanese language skills
  • Experience with Accounts Payable (AP), Accounts Receivable (AR), bookkeeping, or invoice processing
  • Experience with purchasing, inventory control, or order management
  • Experience using accounting software, ERP systems, or business management software
