Project Assistant

We are seeking a highly organized, proactive, and detail-oriented Project Assistant to provide administrative and operational support throughout the project lifecycle. The ideal candidate is reliable, resourceful, and comfortable coordinating tasks, maintaining documentation, tracking deadlines, and supporting project teams to ensure activities are completed efficiently and on schedule.

Responsibilities

• Provide administrative and operational support to project managers and project teams.
• Assist with project planning, scheduling, and coordination of daily activities.
• Track project tasks, deadlines, milestones, and deliverables.
• Follow up with team members to ensure assigned tasks are completed on time.
• Schedule and coordinate project meetings, calls, and appointments.
• Prepare meeting agendas, notes, reports, presentations, and other project documents.
• Maintain organized and up-to-date project files, records, and documentation.
• Update project trackers, spreadsheets, databases, and project management systems.
• Communicate project updates, requests, and information between team members and stakeholders.
• Assist with collecting, organizing, and analyzing project information.
• Monitor pending tasks and help identify potential delays or issues.
• Escalate project concerns or issues to the appropriate project manager or team lead.
• Support project-related research, data collection, and administrative activities.
• Assist with coordinating resources, materials, and other project requirements.
• Help ensure project processes and documentation are followed consistently.

Requirements

• Previous experience in project support, project administration, operations, administrative support, or a similar role.
• Experience managing project documentation, schedules, tasks, and follow-ups.
• Experience using project management or collaboration tools.
• Ability to work with multiple deadlines and priorities simultaneously.
• Strong communication and interpersonal skills.
• Ability to work independently and collaborate effectively with remote teams.
• Strong attention to detail and ability to maintain accurate records.
• Reliable internet connection and a suitable setup for remote work.
• Professional, organized, dependable, and proactive attitude.
• English proficiency is required if the position involves communicating with English-speaking teams, clients, or stakeholders.
