The Pearl of Des Plaines is seeking a Business Office Manager & Admissions Director to join a team of long-term care professionals.

This is a dual role within a smaller skilled nursing facility, offering the opportunity to oversee both business office and admissions functions within a close-knit setting while working directly with residents, families, and facility leadership.

Responsibilities for the Business Office Manager & Admissions Director:

• Oversee the day-to-day operations of the facility’s business office and admissions functions.

• Coordinate the admissions process from initial referral through resident admission, including communication with prospective residents, families, hospitals, and referral sources.

• Review and process admission documentation and coordinate with facility leadership and clinical departments to support timely admissions.

• Verify resident insurance coverage, payer sources, financial information, and required authorizations prior to admission.

• Meet with residents and responsible parties to complete admission agreements, financial documentation, and other required paperwork.

• Maintain accurate resident census, admission, discharge, payer, and financial information.

• Manage accounts receivable and monitor outstanding resident balances.

• Communicate with residents and responsible parties regarding account balances, payment arrangements, and other financial matters.

• Assist with Medicaid applications, pending Medicaid accounts, redeterminations, and required supporting documentation.

• Monitor Medicare, Medicaid, Managed Care, Private Pay, and other payer sources and communicate changes as appropriate.

• Manage resident trust accounts and maintain required records and documentation.

• Process facility deposits and maintain accurate business office records.

• Maintain accurate resident information and documentation within PointClickCare (PCC) and other applicable systems.

• Provide facility tours and communicate with prospective residents and families regarding services and the admissions process.

• Develop and maintain positive relationships with hospitals, referral sources, residents, families, and community partners.

• Follow up on referrals and prospective admissions and assist the facility in meeting census and occupancy goals.

• Work closely with the Administrator, nursing, social services, corporate billing, and other departments regarding admissions and business office operations.

• Maintain confidentiality of resident, financial, and facility information in accordance with applicable regulations and facility policies.

• Perform other duties as assigned.

Requirements for the Business Office Manager & Admissions Director:

• Previous Business Office and/or Admissions experience in skilled nursing, long-term care, or healthcare preferred.

• Knowledge of Medicare, Medicaid, Managed Care, Private Pay, and insurance verification preferred.

• Experience with Medicaid applications, eligibility, redeterminations, and pending Medicaid preferred.

• Accounts receivable and collections experience preferred.

• PointClickCare (PCC) experience preferred.

• Demonstrated computer skills required.

• Strong communication, customer service, and interpersonal skills.

• Demonstrated critical thinking skills, problem-solving abilities, organizational skills, and time management skills.

• Ability to work independently and manage both Business Office and Admissions responsibilities within a smaller facility setting.
