Temporary Scheduling Coordinator -Career Services

Position Overview The Scheduling Coordinator at the Office of Career Services (OCS) plays a vital role in ensuring a seamless recruitment process for students and external employers. This position supports and manages the scheduling and coordination of on‑campus recruitment activities for external employer partners. Primary Purpose of Position Coordinate and manage scheduling and coordination of on‑campus recruitment activities, ensuring a smooth process for students and external employers. Key Responsibilities Coordinate and assist with the delivery of comprehensive on‑campus recruiting programs and services, managing the scheduling of over 2,000 interviews and constructing 300+ interview schedules per semester with meticulous accuracy. Maintain smooth recruitment experiences for external employers by assisting with job postings, on‑campus recruitment, and branding activities. Coordinate and assist with the delivery of information sessions, workshops, and webinars. Oversee planning and logistics for 100+ activities, ensuring attention to detail and effective communication with stakeholders. Utilize software tools such as Handshake and Excel to manage records, track schedules, generate reports, and assist students and employers with technical issues. Act as the first‑level welcome reception for external employers, ensuring a positive experience by assisting with setup and maintaining communication. Handle accounts payable, purchase orders, career fair payments, and maintain accurate employer documents and records; process requisitions for supplies, meals, and marketing materials; assist with credit card and check payments from employers; enter payment information into Handshake. Work Hours 40 hours per week Monday–Friday 8 am–5 pm; occasional evening work may be required for events. Qualifications Minimum: Bachelor’s degree in business administration or a related discipline; or equivalent combination of training and experience. Preferred: Bachelor’s degree with three years of related office management experience; significant knowledge of office/work‑unit procedures, methods, and practices; event management and scheduling experience preferred. Strong communication skills, attention to detail, ability to work in a fast‑paced environment, highly organized, motivated, and capable of handling a high volume of inquiries. Displays problem‑solving and critical‑thinking skills, flexibility, independent work, and the ability to manage multiple tasks under pressure while presenting warm and friendly behavior.
