Accounts Payable Specialist (Hybrid)

Responsibilities

• Invoice Processing: Receiving, reviewing, and verifying invoices for accuracy, proper documentation (like purchase orders or receipts), and appropriate authorization prior to payment.
• Data Entry: Performing accurate and timely data entry of invoices and financial information into the accounting system or general ledger.
• Payment Management: Scheduling, preparing, and executing payments to vendors (via checks, ACH, wire transfers) while monitoring for discount opportunities and ensuring timely disbursements to avoid late fees.
• Reconciliation: Reconciling processed work by verifying entries, comparing system reports to general ledger balances, and reconciling vendor statements monthly to resolve outstanding balances or discrepancies.
• Expense Management: Reviewing and processing employee expense reports and requests for advances.
• Record Keeping: Maintaining organized and accurate historical records and files of all invoices, payments, and correspondence for audit and tax purposes (e.g., 1099 reporting).
• Vendor Communication: Serving as a primary point of contact for vendor inquiries regarding payment status and working with internal departments (like Purchasing) to resolve invoice discrepancies.
• Month-End Support: Assisting with month-end and year-end closing procedures, including account analysis and accruals.
