Executive Assistant To The Deputy Superintendent
The Berkley School District is seeking a highly organized, detail-oriented, and proactive Executive Assistant to support the Deputy Superintendent in overseeing Teaching and Learning, Educational Technology, Federal and State Grants, Schools, and district-wide strategic initiatives. This position serves as a key member of the district leadership support team and plays a critical role in ensuring projects, grants, budgets, communications, and operational priorities are managed effectively and efficiently. The successful candidate will thrive in a fast-paced environment, demonstrate exceptional organizational and communication skills, and possess the ability to manage multiple priorities while maintaining confidentiality and attention to detail.
The ideal candidate possesses exceptional organizational skills, advanced spreadsheet and data management abilities, experience supporting executive-level leaders, and a strong understanding of state and federal grant requirements, compliance expectations, and fiscal accountability. This individual will serve as a liaison between district administrators, school leaders, staff, state agencies, vendors, and community partners while supporting the successful implementation of district priorities.
Qualifications
Required Qualifications:
- Associate's degree or equivalent combination of education and experience.
- Minimum of three (3) years of progressively responsible administrative support experience.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Exceptional organizational, time-management, and problem-solving skills.
- Strong written, verbal, and interpersonal communication skills.
- Advanced proficiency with Google Workspace and Microsoft Office applications, including Excel and Google Sheets.
- Ability to manage multiple projects, deadlines, and competing priorities with a high degree of accuracy and attention to detail.
Preferred Qualifications:
- Bachelor's degree.
- Experience supporting executive-level leadership.
- Experience working in a school district, governmental agency, or similarly complex organization.
- Experience supporting or managing federal and state grant programs.
- Knowledge of grant budgeting, reimbursement procedures, compliance requirements, and fiscal accountability practices.
- Experience with data systems, reporting requirements, and project management tools.
- Familiarity with educational programs, school operations, and state reporting requirements.
Essential Responsibilities
Executive Administrative Support:
- Provide confidential and comprehensive administrative support to the Deputy Superintendent.
- Manage calendars, schedules, meetings, and appointments.
- Coordinate meeting logistics, agendas, supporting materials, minutes, and follow-up communications.
- Prepare correspondence, reports, presentations, spreadsheets, and other administrative documents.
- Serve as a primary point of contact for internal and external stakeholders.
- Support district committees, leadership teams, and special projects as assigned.
- Maintain project timelines, calendars, and organizational systems to ensure priorities remain on schedule.
- Assist with preparation of Board of Education reports, presentations, and supporting documentation.
Grant Management and Fiscal Oversight:
- Assist with the administration, tracking, and monitoring of federal, state, and local grants.
- Maintain grant documentation and records in accordance with compliance, audit, and reporting requirements.
- Monitor grant budgets and expenditures to ensure spending aligns with approved plans and timelines.
- Track reimbursement requests, reporting deadlines, amendments, and spend-down requirements.
- Collaborate with district leaders to support implementation and monitoring of grant-funded initiatives.
- Assist in preparing grant applications, reports, amendments, and supporting documentation.
Data Management and Reporting:
- Maintain accurate databases, records, spreadsheets, and reporting systems.
- Coordinate data collection and reporting efforts across departments and schools.
- Develop and maintain systems for tracking district initiatives, grants, budgets, compliance requirements, and strategic priorities.
- Generate reports and analyze information to support decision-making and organizational effectiveness.
- Ensure data integrity, accuracy, accessibility, and timely submission of required reports.
Project Coordination and Operational Support:
- Coordinate professional development activities, registrations, communications, logistics, and event planning.
- Support purchasing, procurement, and budget monitoring activities related to assigned projects and grants.
- Facilitate communication and collaboration among departments, schools, vendors, consultants, and community partners.
- Assist with implementation and monitoring of district strategic initiatives and departmental projects.
- Support operational processes and continuous improvement efforts within the Teaching, Learning, Technology, and Schools Department.
Administrative Operations:
- Establish, maintain, and update department files, records, databases, and organizational systems.
- Support Freedom of Information Act (FOIA) requests as assigned.
- Maintain confidential personnel, student, and district records in accordance with applicable laws and regulations.
- Provide exceptional customer service to staff, administrators, families, and community members.
- Perform other duties and special projects as assigned by the Deputy Superintendent.
