Job Summary

The Service Assistant is a key part of the Nelson Mazda customer experience. This position is responsible for creating a welcoming, organized, and professional experience for every service customer from the moment they arrive until their vehicle is returned.

The Service Assistant works closely with Service Advisors, Technicians, and the Service Manager to ensure customers are greeted promptly, kept informed, and assisted throughout their visit. The ideal candidate is highly organized, friendly, proactive, and takes pride in delivering exceptional customer service.

Key Responsibilities

• Greet every service customer promptly and professionally upon arrival.
• Assist customers with the check-in and vehicle drop-off process.
• Help direct customers to the appropriate Service Advisor or service lane.
• Monitor the waiting area and ensure customers are comfortable and informed.
• Assist with customer transportation, loaner vehicles, valet service, and vehicle pickup processes.
• Coordinate with Service Advisors regarding customer arrivals, vehicle status, and estimated completion times.
• Communicate with customers regarding vehicle status and help provide updates when needed.
• Assist with scheduling and confirming service appointments when appropriate.
• Help maintain a clean, organized, and welcoming service drive and customer waiting area.
• Assist customers with questions regarding dealership processes, amenities, and available services.
• Perform vehicle walk-around assistance and document vehicle condition when required.
• Help ensure customer vehicles are properly staged and ready for delivery.
• Coordinate vehicle keys and assist with vehicle location and retrieval.
• Support the Service Advisors and Service Manager with daily administrative and customer-experience tasks.
• Identify customer concerns and promptly communicate them to the appropriate team member.
• Look for opportunities to exceed customer expectations and create memorable experiences.
• Follow all dealership policies, safety procedures, and customer-service standards.

Requirements

• High school diploma or equivalent
• Previous customer service experience, preferably in the automotive industry
• Strong communication and interpersonal skills
• Ability to work in a fast-paced environment and handle multiple tasks
• Proficient computer skills and knowledge of MS Office
• Detail-oriented and able to maintain accurate records
• Must be able to work flexible hours, including evenings and weekends
• Must be able to stand for extended periods and lift up to 50 pounds
• Valid drivers license and clean driving record
