Summary The Entry Level Project Manager is responsible for providing administrative and operational support to the Project Management Office (PMO) to ensure effective program governance, communication, and coordination across internal teams and client stakeholders. This role serves as a key liaison for meeting management, onboarding and offboarding activities, project documentation, and day-to-day PMO operations. The successful candidate will be highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced project environment.

Your role in our mission

Meeting Coordination and Support

Coordinate recurring and ad hoc meetings with client and project team members. Schedule meetings, manage calendars, distribute invitations, and coordinate logistics. Develop, maintain, and distribute meeting agendas. Capture meeting minutes, decisions, action items, and follow-up activities. Distribute meeting materials and meeting minutes in a timely manner. Track action items and follow up with owners to ensure completion.

PMO Administrative Support

Provide general administrative support for PMO operations and governance activities. Maintain project documentation, team distribution lists, and contact lists. Assist with preparation of project status reports, presentations, dashboards, and governance materials. Support document management and version control activities. Coordinate and support PMO processes, templates, and standards.

Onboarding and Offboarding Support

Coordinate onboarding activities for new project team members. Assist with access requests, distribution list updates, introductions, and orientation activities. Maintain onboarding checklists and track completion of required activities. Coordinate offboarding activities, including access removal requests and knowledge transfer support. Ensure onboarding and offboarding documentation remains current and accurate.

Communication and Documentation Management

Prepare and distribute project communications, notices, and meeting materials. Maintain project calendars and key events schedules. Support internal and client communications as directed by PMO leadership. Ensure project artifacts are organized and stored in the appropriate repositories.

Governance and Tracking Support

Support PMO leadership with action item tracking and follow-up. Assist with maintaining project logs, trackers, and reporting tools. Monitor assigned PMO activities and escalate issues when needed. Support continuous improvement of PMO processes and procedures.

What we're looking for

Basic Qualifications

Bachelor's degree or equivalent combination of education and experience. Bachelor's degree in business administration, information technology, engineering or related field preferred. Zero to two years of experience in project planning. Experience working with project management methodology including budget development, project planning, control and assurance methodologies, project management software and finance and accounting concepts and practices.

Other Qualifications

Organizational skills to balance and prioritize work. Good interpersonal and presentation skills for interacting with team members and clients. Personal computer and business solutions software skills. Analytical and problem solving skills. Communication skills. Ability to work in a team environment. Ability to deal with ambiguity and change.

What you should expect in this role

Remote-based opportunity within the United States. Opportunities to travel through your work (0-10%). The pay range for this position is $44,500.00 - $63,500.00 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
